Job Description
As a Finance & Operations Administrator, you will provide accurate, reliable, and proactive finance and administrative support to ensure strong financial control, smooth operational processes, and informed decision-making across the healthcare business.

The Qualifications We Seek
- 3-5 years of relevant experience
- Proven experience working in a finance environment
- Knowledge of finance and accounts including Accounts Receivable, Credit Control, or Accounts Payable
- Experience using an accounting package (e.g. Xero)
- Highly organized with strong time-management skills and the ability to manage multiple tasks and deadlines simultaneously
- Self-motivated and able to work independently while maintaining strong communication with the wider team
- Excellent written and verbal communication skills
- Strong attention to detail and ability to work accurately under pressure
- Proactive team player with a solutions-focused mindset and willingness to support wider business and administrative activities
- Confident and adaptable in using multiple IT systems, with proficiency in Microsoft Office 365, particularly Excel
Your Daily Tasks
Client Invoicing & Revenue Administration
- Manage end-to-end client invoicing, ensuring correct charge rates and accurate updates to packages of care
- Reconcile client visit records to validate billed hours, mileage, and expense claims
- Set up, maintain, and terminate direct-debit mandates as required
- Monitor client accounts, follow up on late or missing payments, and escalate issues appropriately
- Liaise with local authorities and third parties regarding financial contributions to client services
Supplier & Expense Processing
- Process supplier invoices accurately and on time, following up on discrepancies or overdue items
- Process and reconcile staff expense and mileage claims in line with company policies
- Maintain accurate records of supplier and expense transactions
Payroll Processing & Administration
- Support payroll processing to ensure timely and accurate staff payments
- Validate contracted hours, training payments, mileage, expenses, holiday pay, sick pay, and ad-hoc payments
- Investigate and resolve payroll discrepancies with relevant stakeholders
Accounting & Reconciliations
- Reconcile accounting software regularly to ensure accuracy and integrity of financial records
- Ensure financial data entries, calculations, and postings comply with internal processes
Financial Reporting & Performance Support
- Prepare regular financial reports and submit scorecard data with clear explanations
- Assist in forecasts, projections, and results reporting to support business planning
- Prepare actual vs budget and forecast reports, including variance analysis
- Provide financial insights to support pricing, pay rates, and supplier contract decisions
Finance Queries & Stakeholder Support
- Respond to finance-related queries from internal stakeholders, third parties, and clients or bill payers
Process Improvement & Compliance
- Contribute to continuous process improvements, including cost-benefit analysis
- Assist with self-audits, trend analysis, and action plans to support quality and compliance
- Support adherence to company policies, including Equality, Diversity, and Equal Opportunities
Administrative & Operational Support
- Assist in preparing for office meetings by compiling data, reports, and information
- Record meeting notes, actions, and decisions, and track follow-ups
- Coordinate staff and client celebrations and reward activities, including e-voucher payments
- Support key service processes by coordinating and tracking future calendar appointments
- Maintain secure, accurate file management and archiving of sensitive financial and personal data
General
- Carry out any other duties required for the successful operation of the business
