Job Description
The People & Culture Administration Assistant provides essential administrative support to the Human Resources and Recruitment team. This role requires strong multitasking skills, confidence in handling P&C systems and phone-based communication, and a high level of professionalism when managing confidential information. You'll support compliance, documentation, and daily operations that keep people processes accurate, timely, and aligned with healthcare standards.

Employment type: Full-time
Shift: Day shift, 8:30am to 5:30pm (ACST) - Monday to Friday
Work setup: Hybrid, Makati (1-2 days onsite, 3 days WFH; open to negotiation with the successful candidate)

The Qualifications We Seek
- 3 to 5 years of relevant experience in HR, administration, or people operations
- High energy, enthusiasm, and ambition in a fast-paced work environment
- Strong initiative and confidence in own skills and judgment
- Very professional and confident telephone manner
- Ability to absorb new knowledge quickly
- High level of professionalism when dealing with people
- Ability to work under pressure and meet tight deadlines
- Strong teamwork skills with the ability to work independently
- Commitment to delivering excellent service to staff and clients
- High level of loyalty, discretion, and confidentiality
- Strong ability to prioritize work effectively
Your Daily Tasks
- Support the interview process through reference checking and employment paperwork management
- Manage National Police Clearance, DHS clearances (e.g., Working with Children Checks), NDIS screen clearance renewals, and Visa Entitlement (VEVO) checks
- Maintain accurate and up-to-date staff files
- Maintain staff training records
- Prepare confidential correspondence and documents using Microsoft Word and other Office applications
- Assist with audit preparation as required
- Support day-to-day administrative duties across the office
- Liaise with clients, employees, and candidates as the organization's representative
- Assist office personnel as required
- Prepare reports and assist with data collation
- Maintain staff information within internal databases and allocation systems
- Answer phone calls and manage enquiries professionally
- Assist in managing office procedures
- Manage email communications
- Order stationery and office supplies
- Implement continuous improvement processes in line with organizational directives
- Perform other duties as defined by the Manager
