JOB SUMMARY
The Clinic Operations Officer is responsible for managing the daily operations of assigned corporate clinic accounts, ensuring workforce efficiency, compliance with regulations, and seamless coordination between internal departments, clinic staff, and corporate clients. This role ensures adherence to operational standards, supports manpower deployment, and facilitates clinic performance monitoring.
Key Responsibilities:
Workforce & Manpower Management
- Monitor clinic manpower and workforce to ensure adequate staffing and operational continuity.
- Ensure timely submission of required reports from clinic staff, including Monthly Utilization Reports and Annual Medical Reports.
- Coordinate with HR-Recruitment for the final list of manpower to be deployed based on contract agreements.
- Perform clinic operations onboarding, orientation, and job shadowing for CCS nurses/personnel, and ensure clinic staff receive orientation on clinic operations and HMC policies before deployment.
- Monitor staff adherence to mandatory DOLE and HMC training programs.
- Serve as the focal point for clinic staff leave requests, coordinating with the CHS HR for reliever of RNs and MDs.
- Monitor Key Performance Metrics (KPMs) of CCS medical staff and conduct periodic performance appraisals.
Client Relationship Management
- Maintain regular coordination and rapport with corporate clients through site visits.
- Attend client meetings as required to address concerns and ensure service satisfaction.
- Address, liaise, and resolve client concerns involving clinic operations, ensuring high service quality and satisfaction.
Clinic Management & Compliance
- Ensure compliance with Service Level Agreements (SLAs) and smooth clinic operations in alignment with HMC and client policies.
- Ensure clinics meet DOLE-BWC standards and regulations for occupational health services.
- Oversee timely submission and completion of DOLE Annual Medical Reports and CCS Monthly Reports.
- Conduct regular clinic audits with the Technical Officer to assess compliance with DOLE and Quality Assurance (QA) standards.
- Perform clinic site visits for inventory checks and audits of medical equipment and supplies.
- Review client satisfaction feedback, including scorecards and escalations, to identify areas for service improvement.
Health & Wellness Program Implementation
- Ensure a successful delivery of health and wellness programs based on the DOH calendar and client utilization reports.
- Secure post-activity reports to assess the impact of wellness initiatives.
- Analyze clinic data and assist in recommending and implementing wellness programs tailored to client needs.
- Coordinate with Marketing to secure appropriate health bulletins and promotional materials for wellness events.
What we're looking for
- Registered Nurse with a minimum of 3 years' experience in a supervisory or management role within a Clinic Management healthcare setting
- Strong clinical expertise and a deep understanding of nursing best practices, healthcare regulations, and quality assurance processes
- Excellent leadership, communication, and problem-solving skills, with the ability to motivate and inspire a team
- Proficient in data analysis and reporting, with the ability to use technology to drive operational improvements
- Demonstrated track record of successfully managing multiple priorities and delivering results in a fast-paced environment
- Commitment to providing exceptional patient-centered care and a genuine passion for healthcare
