Schedule: Monday – Friday, 9:00 am - 5:30 pm VIC, AU Time or 6:00 AM – 2:30 PM PH Time

Holiday to follow: VIC, AU Holidays

About the Role

Our client, a well-established construction company based in Victoria, is seeking a reliable and detail-oriented Administrative / Accounts Assistant to support daily operations and essential finance tasks. This position is ideal for someone who enjoys variety, can work both independently and collaboratively, and is comfortable learning new systems and processes.

Flexible work arrangements are available, including the option to work from home or the office.

Key Responsibilities

Administration

· Manage incoming emails, phone calls, scheduling, and project-related documentation.

· Coordinate communications with clients, suppliers, and subcontractors.

· Maintain accurate records, compliance documentation, and job progress updates.

· Provide administrative support to the Project Manager, including task follow-ups and workflow tracking.

Accounts

· Assist with invoices, purchase orders, and payment processing.

· Support accounts payable/receivable functions and general expense tracking.

· Enter and maintain accurate data within accounting and project management systems.

Skills & Experience

· 1–3 years' experience in administrative or accounts support roles (construction industry experience advantageous).

· Strong organizational skills, excellent communication, and high attention to detail.

· Proficiency with Google Workspace or Microsoft Office.

· Proactive, adaptable, and capable of managing multiple tasks in a fast-paced environment.

· Experience with Xero, Buildern, HazardCo, or ConSmart is preferred; however, training will be provided for candidates who are quick to learn and comfortable adapting to new software.
