Position: Project Administrator
Location: One Ayala, Makati, Metro Manila (tentative)
Work Set-Up and Schedule: Hybrid (3x in the office) and Dayshift (possible AU working hours).
About Our Client:
The client is a leading commercial design and construct provider offering full lifecycle partnerships for clients across Australia, New Zealand, and APAC Region. They design, construct, and care for spaces across industries like retail, industrial, hospitality, and healthcare sectors. As of today, they offer a fully integrated approach from pre-contract with market leading 3D-technology and pre-leasing support, through design and delivery of services.
Position Summary:
As Project Administrator, this position will work closely with the local delivery team to support all the project administration, documentation and coordination of deliverable while ensuring compliance with the company's systems and standard processes.
Duties and Responsibilities:
• Setting up new projects across our project delivery platforms (Procore, 1Breadcrumb and Jonas Premier).
• Ensure all subcontractors are added to relevant Project Directory and have accepted invitation to the platform.
• Administer project related documentation through Procore including but not limited to drawings; schedules; contractor insurances; RFI's and miscellaneous documents.
• Manage Procore audit corrective actions and assist the team in close out of Observations raised during audits.
• Assist with administration and compliance of 1Breadcrumb including subcontractor assistance and on-boarding.
• Administer site establishment requirements including ordering and tracking of consumable items.
• Assist site team with administration of site signage both in-house and through signage contractors.
• Assist in processing invoices and resolving any invoice issues in the system.
• Collate all documentation from internal and external stakeholders within 2 weeks of Practical Completion.
• Administer the implementation of Cachet Care on completed projects including but not limited to completion of Go Live checklist; creation of relevant schedules; packaging up of on-boarding document and client on-boarding.
• Administer Cachet Care ticketing system through Asana platform including client and supply chain communications.
• Assist in the preparation of tender analysis including administration of subcontractor quotes and compile Request for Tender packages including documentation and issuing documents via dropbox links.
• Any additional admin tasks that may be assigned from time-to-time (office inventory, events coordination etc.)
Qualifications:
• Preferably with a Bachelor's Degree in Engineering, Architecture or any other fields related to Project Management.
• At least 2-3 years of experience in project coordination/management; ideally with background in supporting AU/NZ clients.
• Preferred but not required: Experience in using platforms like Procore, 1Breadcrumb and Jonas Premier.
• Has background in reading or analyzing pdf/construction drawings/blueprints etc.
• Excellent English Communication Skills (both verbal and written); has the ability to confidently communicate with different stakeholders and/or clients.
• Strong organizational and time management skills; can meet deadlines while ensuring accuracy and compliance of all records, documentations and coordination of project deliverables.
• Ability to thrive in a fast-paced and collaborative work environment with an open mindset to learning and adapting quickly to any changes.
• Amenable to Work in Hybrid Set Up (3x in the office)
• Amenable to Work in Dayshift.
