Administrative Officer Legal

The Administrative Officer will provide comprehensive administrative and clerical support to ensure the efficient operation of a legal office. The role requires strong knowledge and experience in handling legal processes, including filing, docketing, and submissions with courts and government agencies. The Admin Officer will serve as the backbone of office operations, ensuring compliance with deadlines, accurate documentation, and proper coordination with legal staff and clients.
Key Responsibilities:
1. Administrative Support
- Manage day-to-day office operations, supplies, records, and communications.
- Maintain physical and digital filing systems of pleadings, case files, and legal documents.
- Prepare correspondences, memos, and reports for internal and external use.
2. Court and Government Liaison
- Handle filing, submission, and retrieval of pleadings and documents with the Supreme Court, Court of Appeals, Regional Trial Courts, and other judicial or quasi-judicial bodies.
- Track hearing schedules, deadlines, and filing requirements to ensure timely compliance.
- Coordinate with court personnel, sheriffs, and other agencies as required.
3. Case and Document Management
- Docket and monitor case progress, including calendar management for hearings, deadlines, and meetings.
- Safekeep notarized documents, court orders, contracts, and sensitive case files.
- Assist in research and collation of references for case preparation.
4. Client and Staff Coordination
- Communicate with clients regarding documentary requirements, schedules, and basic updates (under supervision of legal counsel).
- Provide administrative assistance to lawyers and paralegals in preparing case folders and hearing kits.
- Assist in logistics for meetings, hearings, and office activities.
5. Compliance and Confidentiality
- Ensure strict confidentiality of client and case information.
- Adhere to internal office protocols and legal ethics standards
Qualifications
- Bachelor's degree in Business Administration, Office Administration, or related field.
- Minimum 1-2 years of experience as an administrative staff/officer in a law firm or legal office.
- Strong knowledge of legal processes, particularly filing and document related to law.
- Proficiency in MS Office (Word, Excel, PowerPoint) and document management systems.
- Strong organizational and time-management skills with keen attention to detail.
- Ability to work independently under pressure and manage multiple deadlines.
- Excellent written and verbal communication skills in English and Filipino.
- High level of discretion and integrity in handling sensitive information.
