The
Documentation Specialist
is responsible for creating, organizing, maintaining, and updating clear, accurate, and standardized documentation to support business processes, systems, compliance requirements, and operational efficiency. This role works closely with subject matter experts (SMEs), business analysts, and technical teams to ensure documentation is complete, user-friendly, and audit-ready.

Key Responsibilities

Documentation Development

  • Create and maintain business, technical, and operational documents such as SOPs, process flows, user manuals, work instructions, policies, and guidelines.
  • Translate complex technical or business information into clear, concise, and well-structured documentation.
  • Ensure consistency in tone, format, terminology, and version control across all documents.

Stakeholder Collaboration

  • Work with SMEs, IT teams, and business units to gather, validate, and clarify documentation requirements.
  • Participate in workshops, interviews, and walkthroughs to accurately capture processes and system behaviors.
  • Act as a central point of coordination for documentation-related updates and approvals.

Document Control & Quality

  • Manage document lifecycle including creation, review, approval, publishing, and archival.
  • Ensure documents comply with internal standards, regulatory requirements, and audit guidelines.
  • Perform regular reviews to keep documentation current and relevant.

Tools & Knowledge Management

  • Store and manage documentation using platforms such as Confluence, SharePoint, or similar tools.
  • Maintain an organized knowledge repository for easy access and retrieval.
  • Support continuous improvement by identifying documentation gaps and process inefficiencies.

Compliance & Audit Support

  • Prepare and update documentation required for internal and external audits.
  • Ensure traceability and proper versioning of controlled documents.
  • Support quality assurance, risk management, and compliance initiatives.

Qualifications

Required

  • Bachelor's degree in Business Administration, Communications, IT, or related field.
  • 2–4 years of experience in documentation, technical writing, or business analysis support roles.
  • Strong written communication skills with attention to detail.
  • Experience documenting business processes, systems, or IT operations.
  • Ability to work with multiple stakeholders and manage deadlines.

Preferred

  • Experience in regulated environments (ISO, ITIL, SOX, or similar).
  • Familiarity with process mapping tools (e.g., Visio, Lucidchart).
  • Background in IT, software development, or enterprise systems documentation.
