
Accounts Assistant

We are seeking a detail-oriented Accounts / Bookkeeping Assistant to support our team in Makati. The ideal candidate will have hands-on experience with Philippine bookkeeping practices, BIR forms and compliance, payroll processing, and proficiency in Excel and Xero. This role is integral to maintaining accurate financial records, ensuring statutory compliance, and supporting timely financial reporting.
Key Responsibilities:
Maintain day-to-day financial records in Xero, including accounts payable, accounts receivable, general ledger entries, bank reconciliations, and fixed asset tracking.
Assist in the preparation and file BIR-related forms and reports as required (e.g., BIR Form 2306, withholding taxes, VAT, expanded withholdings, monthly/quarterly returns) and stay updated on Philippine tax regulations.
Assist with the processing of payroll accurately and on time, including salary computations, deductions (SSS, PhilHealth, Pag-IBIG, tax withholding), and submission of required government reports.
Assist with monthly close activities: reconcile balances, prepare journal entries, review discrepancies, and support preparation of financial statements.
Support the management of supplier/vendor onboarding, verify invoices, and ensure timely payments while maintaining accurate vendor records.
Support the management of customer onboarding, verify sales invoices, and ensure timely payments from customers while maintaining accurate customer records.
Assist with internal and external audit preparations by organizing documents and providing data requests.
Help to maintain organized and compliant filing systems (digital and physical) for easy retrieval.
Respond to ad-hoc accounting queries and provide support for financial controls and process improvements.
Ensure compliance with company policies and Philippine regulatory requirements.
Qualifications:
Bachelor's degree in Accounting, Finance, or a related field (or equivalent work experience).
Minimum 1 year of hands-on bookkeeping/accounting experience, preferably in the Philippines.
Strong knowledge of Philippine bookkeeping practices and BIR forms/filing requirements.
Payroll experience in the Philippines with familiarity of SSS, PhilHealth, Pag-IBIG, and Tax Withholding computations.
Proficiency with Xero accounting software; experience with double-entry bookkeeping and basic ERP understanding.
Proficiency in Microsoft Excel (formulas, data manipulation).
High attention to detail, accuracy, and strong organizational skills.
Ability to work independently and as part of a small team; good communication skills.
Knowledge of local compliance requirements and ability to handle confidential information with discretion.
Fluent in English.
Preferred/Nice-to-Have:
Familiarity with other accounting tools or ERP systems.
Basic understanding of financial reporting standards and internal controls.
Experience with monthly/quarterly closings and financial statement preparation.
Working Hours:
Standard office hours (e.g., 9:00 AM – 5:00 PM) with occasional need to address deadlines or end-of-month activities.
Hybrid option may be discussed based on performance and business needs.
