THE ROLEWe are seeking an Executive Assistant / Sales Development Specialist who is highly skilled in LinkedIn outreach and lead generation. This dual role is designed for someone who thrives at building professional relationships online while also managing executive-level administrative support. The candidate must be a LinkedIn wizard—capable of researching, connecting, and engaging with C-Suite decision-makers while keeping meticulous track of all communications and data.
This role directly supports the CEO and is critical in driving business growth through LinkedIn prospecting, CRM management, and consistent client follow-ups, while also ensuring the CEO's schedule, communication, and priorities are seamlessly managed.
KEY RESPONSIBILITIES1. LinkedIn Prospecting & Sales Development
- Build and expand the company's customer base through targeted LinkedIn outreach.
- Conduct in-depth LinkedIn research to identify and qualify leads, focusing on executives and C-Suite members.
- Use provided template letters for initial outreach, while tailoring communication for engagement.
- Maintain daily activity tracking, ensuring accurate reporting of outreach, responses, and conversions.
- Monitor trends and insights on LinkedIn to identify new opportunities and target markets.
2. Tracking, Reporting & CRM Management
- Update and maintain CRM with accurate data on prospects, communications, and follow-up status.
- Track all client interactions and ensure no lead falls through the cracks.
- Generate and deliver regular reports on LinkedIn activity, outreach success rates, and pipeline updates.
- Follow up on missing or incomplete data and ensure all records are kept current.
3. Executive Assistance
- Manage CEO's calendar, scheduling meetings, calls, and follow-ups with precision.
- Handle CEO's email inbox—sending timely responses, drafting professional follow-ups, and flagging urgent matters.
- Ensure clients receive follow-ups if no response is given within designated timeframes.
- Support CEO in preparing for meetings by providing background research, prospect details, and agenda coordination.
4. Process & Support Tools
- Review and follow daily Loom video instructions from the CEO for guidance on tasks and research priorities.
- Document and refine processes to ensure consistency and efficiency in outreach and reporting.
- Troubleshoot issues independently, presenting solutions to the CEO when needed.
- Experience: 3–5 years in sales development and executive assistance.
- Education: Bachelor's degree is an advantage but not required; equivalent experience will be considered.
- Must be a LinkedIn wizard.
- Proven experience with LinkedIn research, networking, and lead generation (Sales Navigator expertise a plus).
- Background in sales development, lead generation, or executive-level support.
- Experience with analytics, tracking metrics, and creating performance reports.
- Familiarity with email management systems and scheduling platforms (e.g., Calendly, Outlook, Gmail).
- Prior experience supporting C-Suite executives or founders.
- Strong organizational skills with experience in CRM tools (HubSpot, Salesforce, or similar).
- Exceptional written communication skills; ability to engage C-Suite executives professionally.
- Critical thinker with strong problem-solving abilities.
- Excellent attention to detail; ability to catch errors and maintain data accuracy.
- Comfortable with technology (Loom, LinkedIn, CRMs, Google Workspace, project management tools).
- Ability to follow structured processes but also think independently and adapt when needed.
- Self-motivated, reliable, and able to handle sensitive information with confidentiality.
- Problem-Solving: Strong critical thinking skills with the ability to work autonomously and take initiative.
- Client-Focused: Dedicated to providing high-level support and fostering positive client relationships.
- Adaptability: Flexible in working across different time zones and responsive to client needs outside traditional working hours when necessary.
