ADMIN MANAGER
Office & Administrative Management
Oversee daily office operations to ensure smooth workflow.
- Maintain office supplies, equipment, and facilities; coordinate repairs and replenishment.
- Manage document control - organizing contracts, permits, drawings, and correspondence.
Handle filing (digital and physical) and ensure proper version control of architectural documents.
Financial & Bank-Related Tasks
Collect cheques from banks, clients, or partner offices
- Prepare and process bank deposits and maintain clear transaction records.
- Assist in basic bookkeeping tasks (petty cash, reimbursements, expense tracking).
Coordinate with accounting, clients and vendors for billing, invoices, and financial reporting.
Human Resources & Staff Support
Manage attendance, timekeeping, and leave records.
- Assist in recruitment, onboarding, and personnel file management.
- Coordinate training schedules and team-building activities.
Ensure company policies are communicated and followed.
Project Coordination Support
Coordinate document submissions to LGUs, consultants, and clients.
- Prepare and organize project-related logistics (deliveries, pickups, printing of plans).
- Assist architects in scheduling meetings, site visits, and presentations.
Track deadlines, requirements, and project admin compliance.
Client & Vendor Liaison
Serve as a main point of contact for suppliers, consultants, contractors, and clients.
- Manage vendor accreditation, quotations, and procurement processes.
Coordinate deliveries of materials, samples, and office needs.
Compliance & Regulatory Support
Assist in processing permits, certifications, and compliance documents (e.g., business permits, project-related requirements).
Maintain updated records for legal, regulatory, and corporate documents.
Office Maintenance & Facility Management
Oversee cleanliness, security, and orderliness of the office.
- Coordinate with building management or service providers (IT, cleaning, repairs).
Ensure all office systems (internet, utilities, software subscriptions) are functioning.
Scheduling & Communication Management
Manage office calendars, appointments, and meetings.
- Prepare minutes of the meeting when needed
Draft official communications, notices, and announcements.
Logistics & Errands
Handle delivery and pick-up of important documents.
- Coordinate transportation arrangements for staff or project needs.
Ensure timely submission of plans. permits, and other documents.
Support to the Management Team
Assist partners/principals in administrative tasks, follow-ups, and business operations
- Provide input on improving administrative systems and internal processes.
- Help enforce workflow efficiency and office policies.
Job Type: Full-time
Pay: Php20, Php30,000.00 per month
