ADMIN MANAGER

  1. Office & Administrative Management

  2. Oversee daily office operations to ensure smooth workflow.

  3. Maintain office supplies, equipment, and facilities; coordinate repairs and replenishment.
  4. Manage document control - organizing contracts, permits, drawings, and correspondence.
  5. Handle filing (digital and physical) and ensure proper version control of architectural documents.

  6. Financial & Bank-Related Tasks

  7. Collect cheques from banks, clients, or partner offices

  8. Prepare and process bank deposits and maintain clear transaction records.
  9. Assist in basic bookkeeping tasks (petty cash, reimbursements, expense tracking).
  10. Coordinate with accounting, clients and vendors for billing, invoices, and financial reporting.

  11. Human Resources & Staff Support

  12. Manage attendance, timekeeping, and leave records.

  13. Assist in recruitment, onboarding, and personnel file management.
  14. Coordinate training schedules and team-building activities.
  15. Ensure company policies are communicated and followed.

  16. Project Coordination Support

  17. Coordinate document submissions to LGUs, consultants, and clients.

  18. Prepare and organize project-related logistics (deliveries, pickups, printing of plans).
  19. Assist architects in scheduling meetings, site visits, and presentations.
  20. Track deadlines, requirements, and project admin compliance.

  21. Client & Vendor Liaison

  22. Serve as a main point of contact for suppliers, consultants, contractors, and clients.

  23. Manage vendor accreditation, quotations, and procurement processes.
  24. Coordinate deliveries of materials, samples, and office needs.

  25. Compliance & Regulatory Support

  26. Assist in processing permits, certifications, and compliance documents (e.g., business permits, project-related requirements).

  27. Maintain updated records for legal, regulatory, and corporate documents.

  28. Office Maintenance & Facility Management

  29. Oversee cleanliness, security, and orderliness of the office.

  30. Coordinate with building management or service providers (IT, cleaning, repairs).
  31. Ensure all office systems (internet, utilities, software subscriptions) are functioning.

  32. Scheduling & Communication Management

  33. Manage office calendars, appointments, and meetings.

  34. Prepare minutes of the meeting when needed
  35. Draft official communications, notices, and announcements.

  36. Logistics & Errands

  37. Handle delivery and pick-up of important documents.

  38. Coordinate transportation arrangements for staff or project needs.
  39. Ensure timely submission of plans. permits, and other documents.

  40. Support to the Management Team

  41. Assist partners/principals in administrative tasks, follow-ups, and business operations

  42. Provide input on improving administrative systems and internal processes.
  43. Help enforce workflow efficiency and office policies.

Job Type: Full-time

Pay: Php20, Php30,000.00 per month
