Overview

The Listing and Transaction Coordinator manages the administrative side of real estate listings and transactions, ensuring accuracy, compliance, and efficiency across all stages—from pre-listing to closing.

Key Responsibilities

Listing & Transaction Management

  • Update and track listings, sales, and transactions following established procedures.
  • Manage client and property information using platforms such as Follow Up Boss and Trello.
  • Prepare, review, and organize disclosures, contracts, and addendums.
  • Open escrows, order preliminary titles, insurance quotes, and home warranties.
  • Coordinate property photography, open houses, and client appointments.
  • Ensure all documents are uploaded, signed, and compliant with brokerage standards.

CRM & File Organization

  • Maintain up-to-date client records in CRM systems and spreadsheets.
  • Oversee farm lists, past client lists, and e-alert setups.
  • Track milestones and tasks to ensure timely completion of all deliverables.

Communication & Coordination

  • Communicate effectively with lenders, escrow officers, agents, and clients.
  • Schedule and confirm key transaction dates and property-related activities.
  • Provide regular updates to stakeholders on progress and status changes.

Skills and Qualifications

  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication.
  • Experience managing CRMs (preferably Follow Up Boss).
  • Proficient with transaction platforms such as DocuSign, Transaction Desk, or similar.
  • Familiarity with MLS systems and listing processes.
  • Skilled in task management tools such as Trello or similar.
  • Ability to manage multiple listings and transactions simultaneously.
