KEY RESPONSIBILITIES

Administrative Responsibilities

  • Oversee daily office operations and ensure the office environment is well-organized and properly maintained.
  • Act as the first point of contact for internal and external inquiries (phone, email, walk-ins).
  • Manage office supplies inventory and monitoring; coordinate procurement and issuance to departments.
  • Maintain filing systems (physical and digital), ensuring documents are organized and accessible.
  • Assist in preparing memos, reports, and correspondence for management.
  • Coordinate schedules, meetings, and company activities as needed.
  • Handle travel arrangements, bookings, and related documentation.
  • Support HR in basic administrative functions such as record-keeping, onboarding document preparation, and scheduling.
  • Ensure compliance with company administrative policies and procedures.

Accounting Responsibilities

  • Assist in processing invoices, receipts, liquidation reports, and expense reimbursements.
  • Maintain accurate and updated records of accounts payables and receivables.
  • Monitor and track petty cash and cash advances; ensure proper documentation and timely liquidation.
  • Encode accounting data into the company's accounting or ERP system.
  • Support monthly closing activities by preparing basic schedules and reconciliations.
  • Assist in preparation of financial reports and documentation for internal/external audits.
  • Coordinate with suppliers, vendors, and accounting personnel regarding billing concerns.
  • Ensure adherence to accounting policies, compliance standards, and documentation guidelines.

QUALIFICATIONSEducation & Experience

  • Bachelor's degree in Business Administration, Accounting, Finance, or any related field.
  • Minimum of 1 year of experience in office administration, accounting, or related roles.
  • Experience with basic accounting procedures, bookkeeping, or finance support is required.

Skills & Competencies

  • Strong organizational and multitasking skills.
  • Excellent attention to detail and accuracy.
  • Knowledge of accounting principles and financial documentation.
  • Proficiency in MS Office (Excel, Word, Outlook) and familiarity with accounting software.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Problem-solving and time-management abilities.
  • Ability to work independently with minimal supervision.

Job Type: Full-time

Pay: From Php18,000.00 per month
