Position: Accounting & Administration Assistant

Work Set-Up: Remote | Work From Home

Work Schedule: Early Dayshift (5AM or 6AM start time)

Position Summary:

The Accounting & Administration Assistant will be responsible in providing support in billing, invoicing, reconciliation, and data accuracy. This role supports accounts payable, accounts receivable, toll charge reconciliation, and driver wage processing while assisting with transport management system (TMS) administration.

Duties and Responsibilities:


• Billing, Reconciliation & Toll Administration

- Reconcile all sub-contractor West Gate Tunnel Toll claims against completed work for Vantrans.

- Ensure correct toll discounts are applied and identify any overcharges to the company.

- Allocate toll charges to clients and ensure accurate inclusion in customer invoices.


• Accounts Payable Support

- Reconcile sub-contractor invoices against the Transport Management System (TMS).

- Identify and manually correct discrepancies where required.

- Enter sub-contractor payments accurately using MYOB.


• Accounts Receivable Support

- Create customer invoices and manually add all relevant charges.

- Send invoices to clients in a timely and accurate manner.

- Assist in maintaining accurate billing records and documentation.


• Payroll & Driver Wages Support

- Assist with company driver wage administration and related data entry.

Qualifications:

• Bachelor's Degree in Accounting, Finance or any other related field.

• At least 1-2 years of experience in accounting administration or finance support role.

• Preferably with experience in both accounts payable and accounts receivable processes.

• Preferred but not required: Experience in using MYOB accounting software.

• Strong attention to detail and accuracy, particularly in reconciliation and data entry tasks.

• Ability to work independently in a remote setup and manage multiple tasks effectively.

• Strong organizational and time management skills.

• Amenable to Work on Early Dayshift schedule.

• Amenable to Work From Home.
