Job Summary

We are seeking a highly organized and detail-oriented Accounts Receivable & Payable Specialist to manage and streamline our billing and payment processes. This is a fully remote role, ideal for someone with at least 3 years of experience in bookkeeping, accounting support, or financial operations.

In this role, you'll be responsible for maintaining accurate financial records, ensuring timely invoicing and payments, and supporting our finance team with day-to-day accounting tasks.

Key Responsibilities

Accounts Receivable (AR):

  • Generate, send, and track client invoices accurately and on schedule
  • Monitor outstanding balances and proactively follow up on overdue accounts
  • Record and reconcile incoming payments across platforms (e.g., bank transfers, Stripe, PayPal)
  • Communicate professionally with clients regarding billing inquiries and payment issues

Accounts Payable (AP):

  • Review and process vendor invoices for accuracy and appropriate approvals
  • Schedule and execute payments to vendors, contractors, and service providers
  • Maintain organized digital records of all payables, receipts, and approvals
  • Reconcile credit card statements, process employee expense reimbursements

General Financial Support:

  • Assist with month-end closing tasks, bank reconciliations, and report preparation
  • Maintain accurate records in accounting software (e.g., QuickBooks, Xero, or similar)

Support the finance team in preparing data for tax filing or audits

Qualifications and Skills

  • Proven experience as a Contract and Procurement Specialist or similar role.
  • In-depth knowledge of procurement and contract management processes.
  • Familiarity with relevant laws, regulations, and compliance requirements.
  • Strong negotiation and analytical skills.
  • Proficiency in procurement software and tools (e.g., SAP, Oracle, or similar platforms).
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Attention to detail and a proactive problem-solving approach.

Qualifications:

  • 3+ years of experience in accounts receivable/payable, bookkeeping, or accounting support
  • Proficiency in accounting platforms such as QuickBooks, Xero, or similar tools
  • Strong attention to detail, organizational skills, and accuracy in data entry
  • Ability to manage deadlines and prioritize effectively in a remote work environment
  • Excellent written and verbal communication skills
  • Experience with payment platforms like Stripe, PayPal, or is a plus
  • Familiarity with Google Workspace (Sheets, Drive, Gmail) and Zoom/Slack for communication
