Job Summary:

The Operations Supervisor is responsible for overseeing and coordinating daily operations in Logistics, Warehouse, and Invoicing to ensure efficient, accurate, and timely delivery of products and services. The role supervises personnel, monitors processes, enforces company policies, and ensures that all operational activities are aligned with customer satisfaction, compliance requirements, and organizational goals.

Key Responsibilities:

Logistics Oversight:

· Supervise daily logistics operations, including route planning, dispatching, and delivery schedules.

· Ensure timely and accurate deliveries while optimizing transportation costs.

· Monitor driver performance, trip reports, and vehicle utilization.

· Coordinate with Sales, Finance, and Customer Service to resolve delivery-related issues.

· Enforce compliance with safety and regulatory standards for transport operations.

Warehouse Oversight:

· Supervise receiving, storage, inventory control, and dispatch of goods.

· Implement FIFO/FEFO principles in warehouse operations.

· Monitor inventory accuracy and support cycle counts and stock reconciliation.

· Ensure cleanliness, safety, and orderliness of warehouse facilities.

· Supervise warehouse assistants and helpers to achieve productivity targets.

Invoicing Oversight:

· Supervise invoicing staff in preparing, releasing, and filing sales invoices.

· Ensure accuracy and timeliness of invoices, delivery receipts, and related documents.

· Oversee proper filing and safekeeping of invoice copies (White, Blue, Pink, Green).

· Coordinate with Finance and Credit & Collection for validation and reconciliation of remittances.

· Monitor replenishment and control of invoice booklets.

Cross-Functional Coordination:

· Act as a bridge between Sales, Finance, Warehouse, and Logistics to ensure seamless operations.

· Escalate unresolved issues to the Operations Manager and recommend corrective actions.

· Support process improvements and standard operating procedures (SOPs) across departments.

People Management:

· Supervise, guide, and evaluate the performance of warehouse staff, drivers, logistics assistants, and invoicing personnel.

· Conduct coaching and mentoring sessions to improve staff efficiency and performance.

· Recommend training programs to enhance employee skills.

· Ensure compliance with company policies, health, and safety standards.

Reporting & Monitoring:

· Prepare daily, weekly, and monthly reports on logistics performance, warehouse inventory, and invoicing accuracy.

· Track key performance indicators (KPIs) for delivery lead time, inventory accuracy, and invoicing errors.

· Submit incident and discrepancy reports with recommended corrective actions.

Qualifications:

  • Graduate of any 4-year course (Business, Operations Management, Industrial Engineering preferred).
  • At least 2–3 years in a supervisory role.
  • Strong leadership, problem-solving, and decision-making skills.
  • Excellent communication and organizational skills.
  • Proficient in MS Office; knowledge of ERP/inventory systems is an advantage.
