We are seeking a highly skilled and proactive Executive Assistant to provide comprehensive support to the Owner and leadership team. This role is critical in ensuring that the Owner remains focused on high-impact decisions, while day-to-day tasks, communications, and projects are effectively managed.

The ideal candidate will have exceptional organizational skills, strong business acumen, and the ability to anticipate needs in a fast-paced environment.

Key Responsibilities

1. Strategic Filtering & Prioritization

Review and evaluate incoming tasks, communications, and requests to determine appropriate actions: delegate, defer, or escalate to the Owner.

Ensure a decision-ready environment so the Owner only addresses matters requiring leadership focus.

Summarize and distill emails, updates, and issues into clear, actionable insights.

  1. Calendar & Time Protection

    Manage and safeguard the Owner's calendar, ensuring time is allocated to high-priority tasks and decision-making.

    Control access to meetings and requests, aligning schedules with strategic priorities.

  2. Follow-Through on Execution

    Represent the Owner in meetings where direct presence is not required.

    Coordinate with internal teams, vendors, and consultants to ensure deliverables are completed.

    Monitor progress on delegated assignments and provide consistent follow-up until completion.

  3. Reporting & Accountability

    Prepare daily and weekly reports highlighting key metrics, milestones, and roadblocks.

    Manage reminders and ensure timely delivery of the Owner's commitments and decisions.

  4. Documentation

    Develop, organize, and maintain business manuals, SOPs, and company policies.

    Ensure all documentation is accurate, updated, and accessible to relevant stakeholders.

Qualifications

Proven experience as an Executive Assistant, Administrative Assistant, Operations Coordinator, or similar leadership support role.

Outstanding organizational, prioritization, and time-management skills.

Strong ability to filter and assess tasks independently with minimal supervision.

Excellent written and verbal communication skills; adept at distilling complex information into concise summaries.

Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive) and project management tools (e.g., ClickUp, Asana, Trello).

Skilled in cross-functional coordination with teams, vendors, and external partners.

Experience in creating and maintaining business documentation, SOPs, and policies.

High degree of discretion in handling confidential and sensitive information.

Proactive, resourceful, and forward-thinking in anticipating leadership needs.

Compensation & Benefits

Salary Range: ₱18,000 – ₱23,000 per month

Schedule: Monday to Friday, 8:00 AM – 5:00 PM

Work Setup: Primarily work-from-home, with occasional onsite visits if required. May transition to a full-time onsite role upon office/showroom expansion.
