Employee Support & HRIS Administration

  • Act as the main
    point of contact for employees

on inquiries related to attendance, overtime, payroll, and HRIS (Akrivia).
- Provide
frontline support for HRIS usage

, ensuring employees can navigate the system and their records are updated correctly.
- Maintain and update the HRIS software and employee masterlists (Google Sheets), capturing all employee movements such as: promotions, transfers, title changes, salary increases, separations, and onboarding of new hires.

Timekeeping & Payroll Management

  • TIMEKEEPING:

Download and verify attendance data from HRIS (Akrivia) for all employees and coordinate with managers to resolve disputes or corrections before final payroll submission. Oversee
timekeeping for multiple employee groups

:
- Brand Ambassadors across Manila, Boracay, Pampanga, and Bataan.
- Salaried Drivers, including validation of daily time-in/out logs.
- Xpress employees through Akrivia and updating of disputes, if any
- Finalize and submit verified timekeeping records to CoreWage for payroll processing.
- CEBUANA ADVANCE AND OTHER DEDUCTIONS:
- Receives and computes Cebuana Advance SOAs and updates total amount to be deducted per employee in the records to ensure
accurate loan computations per employee

before forwarding to payroll (Corewage).
- Handle payroll-related adjustments, including overtime, late attendance corrections, and Cebuana loan deductions.

Employee Lifecycle & Benefits Administration

  • 13TH MONTH:

Encodes monthly monitoring of 13th month accruals and maintains updated records in the google sheet file.
- PHILCARE HMO:
- Receives Philcare HMO card and releases to the appropriate employee.
- Oversee regularization of employees, ensuring they are promptly enrolled in HMO (Philcare).
- Keeps track and creates google sheet file of HMO deletions for separated employees and additions for newly regularized staff.
- EASTWEST BANK:
- Coordinates with EastWest Bank (Ms. Cathy) for payroll ATM card enrollment for all new hires.
- Receives and releases ATM cards to the appropriate employee.
- CEBUANA ADVANCE:
- Coordinates with Cebuana Advance to update eligibility lists for loans (addition of newly regularized staff, removal of separated employees).

Government Compliance & Payroll Integration

  • Person-In-Charge (PIC) for Pag-IBIG reporting

via the UnionBank eGov platform, preparing accurate compliance files for submission.
- Coordinate with CoreWage to ensure final compliance reports are paid and posted without modification.
- Prints monthly Government receipts sent by Finance for records keeping.
- When needed, personally goes to government offices (SSS, PhilHealth, Pag-IBIG) to submit documents, follow up on requests, and resolve issues related to payments, employee applications, or other requirements from these agencies.

Records Management & Documentation

  • Scan, archive, and upload all HR documents to employee folders, including:
  • Signed contracts, job descriptions, and regularization documents.
  • Promotion letters, salary increase notices, and performance evaluations.
  • Accountability forms for IT and company-issued equipment.
  • Maintain complete, organized, and secure digital records for easy retrieval and compliance audits.

Cross-functional & External Coordination

  • Serve as the
    main HR contact person

for external partners such as CoreWage (payroll), Philcare (HMO), Cebuana Advance (loans), and EastWest Bank (payroll accounts).
- Ensure all third-party transactions are accurate, timely, and aligned with employee records and company processes.
