
Events Associate

The Events Associate will oversee all aspects of event coordination and serve as the main point of contact between the client and the operations team. You will be responsible for managing pre-event and post-event processes, ensuring all tasks are completed on time and in accordance with client expectations. This role requires someone who thrives in a fast-paced environment and can juggle multiple responsibilities simultaneously.
Duties & Responsibilities:
Serve as the on-site point of contact for private events, ensuring smooth event execution from start to finish.
Coordinate between the client and the operations team, facilitating communication and ensuring all details are aligned.
Send out sales kits, create proposals, contracts, billings, and event orders with the approval of the Event Manager.
Handle daily inquiries via phone, email, and messaging platforms to provide client support and guidance.
Conduct ocular visits to event venues, arrange food tastings, and lead pre-production meetings with clients.
Lead event briefings with the operations team to ensure everyone is aligned and aware of their roles.
Help meet monthly quotas by contributing to outbound efforts and collaborating with the Events Manager/Department on business development strategies.
Admin duties: Track all documents, payments, event details, and ensure timely updates and proper documentation throughout the event planning and execution stages.
Qualifications:
Bachelor's Degree
Previous experience in sales.
Previous experience in the events industry is a plus.
Excellent communication skills and the ability to build strong rapport with clients and vendors.
Ability to work both independently and as part of a collaborative team.
Proficiency in Microsoft Office, Canva, Google Suite, and event management software.
Highly detail-oriented and proactive with a keen focus on ensuring event success.
Knowledge of event processes, management, and food & banquet operations.
Flexibility to work evenings, weekends, and holidays as needed based on event schedules.
Results-oriented mindset, with a focus on meeting goals and driving business growth.
