Work Setup & Schedule:

  • Hybrid (Mon-Fri, 3:00AM – 12:00NN)

What you'll be doing:

  • Process customer orders received via phone, email, or EDI while ensuring stock availability and timely distribution to the warehouse
  • Investigate stock queries with the planning team and incoming imports with the warehouse team
  • Investigate, authorize, and record customer credits and handle invoice printing or reprinting
  • Liaise with the commercial team to maximize sales opportunities using available stock and resources
  • Respond to customer, consumer, and sales representative enquiries and complaints promptly and professionally
  • Maintain accurate customer order data and pricing information in Pronto
  • Coordinate with internal teams to address product quality issues, process returns, and manage warranty claims
  • Maintain and monitor key operational registers (DIFOT, KPI, Credit, New Accounts
  • Handle filing of orders, PODs, and credits
  • Assist in account queries, payment processing, and annual price increase
  • Book and manage transport pickups, consignments, and manifests
  • Provide administrative support to the national sales team, senior management, and other departments
  • Perform general office duties, including but not limited to - mail handling, stationery ordering, reception upkeep, and data entry
  • Record and maintain logs of customer and retailer quality issues and resolutions
  • Prepare ad-hoc reports to support business operations and continuous improvement initiatives
  • Other ad-hoc duties/projects as needed

What will make you a great fit:

  • Graduate of any business administration course
  • 1-2 years of work experience in customer service and administration
  • Previous experience in bedding or manufacturing industry is desirable
  • Knowledge of Pronto ERP system and experience in EDI processing is desirable
  • With experience using Microsoft applications and other administrative tools
  • Excellent written and verbal English skills
  • Strong attention to detail and data entry accuracy
  • Adaptable to change and able to work in a dynamic environment
  • Well organized and detail-oriented
  • Excellent interpersonal and communication skills to engage with a variety of customers
  • Excellent time management skills with the ability to multitask
