Titan Services Inc. is seeking a highly organized and detail-oriented Catering Operations & Executive Support Virtual Assistant to support one of our valued clients in the catering and food service industry. The role involves assisting with catering operations, administrative tasks, and executive/personal to-do management. The ideal candidate will have strong communication skills, excellent attention to detail, and thrive in a fast-paced entrepreneurial environment.
Key Responsibilities
- Ordering & Vendor Coordination (5 hrs/wk): Manage vendor communication, place orders, and track supplies.
- Food Costing (5 hrs/wk): Prepare and update food costing sheets.
- Invoicing (5 hrs/wk): Create, send, and track invoices.
- Proposal Quality Assurance (6 hrs/wk): Review catering proposals for accuracy and consistency.
- Menu Prep for Tastings (2 hrs/wk): Assist in preparing documents and schedules.
- Sales Pipeline Reporting (4 hrs/wk): Maintain reports and monitor progress.
- Recipe Digitization (4 hrs/wk): Organize and digitize recipes for internal use.
- Website Updates (2 hrs/wk): Make basic edits and updates to the company website.
- Personal To-Do Management (2 hrs/wk): Maintain and prioritize to-do lists, track progress, and set reminders.
- Email Management (2 hrs/wk): Monitor and organize inboxes, draft and respond to emails.
Qualifications
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Excel, Google Workspace, and CRM tools.
- Comfortable using AI tools (e.g., ChatGPT) for workflow optimization.
- Basic graphic design skills (Canva, Adobe Suite).
- Website management experience (WordPress, Squarespace, or similar).
- Ability to manage multiple priorities and work independently.
- Background in hospitality, food service, or catering (preferred but not required).
