
Facilities Coordinator

Administer the client's proprietary platform to fulfill the following responsibilities:
Operations and Dispatching
• Process work orders, ensuring services are organized and issued to service providers.
• Assist in preparing quotations for services for both new and existing clients.
• Coordinate with site managers, internal teams and service providers to start, monitor and close work orders, while ensuring timely service and proper documentation in portals
• Track and follow up on escalated issues to ensure completion
Help Desk Controller
• Provide helpdesk support on the client's proprietary platform (PP), collaborating with the team and managing shared responsibilities
• Perform administrative tasks within the client's PP, including data maintenance, equipment registers, and compliance tracking.
Training and Onboarding
• Partner with HR team in client site inductions, recruitment, and posting job ads.
• Maintain and audit training matrices and assist with operational meetings.
Troubleshooting and Support
• Respond to escalations on PP and other platforms, ensuring timely resolution.
• Partner with IT to provide support for system maintenance, software updates, and troubleshooting client's PP
• Partner with IT team in optimizing client's PP performance and managing technical issues.
• Partner with Finance team on reporting, invoicing, and system integration maintenance.
Communications, Compliance and Management Reporting
• Manage incoming emails, close tasks, and follow up as needed.
• Assist in creating operational reports at site, state, and national levels
• Communicate updates and alerts to clients, cleaners, and service providers via email and phone.
• Document and report OHS incidents, accidents, and near-misses.
• Ensure accurate record-keeping and streamline cross-departmental processes.
• Communicate regularly with divisional teams and prepare monthly reports.
• Ensure compliance with statutory and company standards, including purchase orders and creditor workflows.
• Maintain and escalate contractor compliance issues as necessary
• Ensure compliance with ISO 9001:2015, ISO 45001:2018, ISO 14001:2015, ISO 6000:2010, and HACCP standards.
Requirements:
• Graduate of any Bachelor's Degree in Management or related courses
• At least two years' experience in performing project management, operations support or team / work dispatching roles
• Experience in property management, commercial cleaning, construction or similar industries is an advantage
• Proficient in the use of mainstream project / task management software or proprietary platforms with similar functions is an advantage
• Strong coordination, communication, and customer service skills.
• Proficient in Microsoft Office, data reporting, and troubleshooting.
• Ability to prioritize, organize tasks, and manage system maintenance.
• Experience with training, process streamlining, and cross-department collaboration.
