We are seeking a detail-oriented and patient-focused Medical Support Specialist to assist in day-to-day clinical operations, patient communication, and administrative coordination. This role requires strong communication skills, familiarity with medical systems, and experience handling patient data with care and confidentiality.

Key Responsibilities

Call & Scheduling Management

  • Handle inbound and outbound VoIP calls with professionalism and empathy.
  • Schedule and reschedule appointments in Athena Health or similar EHR systems.
  • Route messages and tasks to appropriate staff members efficiently.

Patient Follow-Up

  • Conduct outreach calls and send appointment reminders to new and returning patients.
  • Manage no-show communications and coordinate rescheduling as needed.

Insurance & Authorization

  • Verify insurance details through payer portals.
  • Record copay and coinsurance information accurately in Athena.
  • Submit and monitor prior authorization requests.

Medical Assistant & Documentation Support

  • Assist medical assistants with patient follow-ups and documentation.
  • Log patient interactions and ensure accurate task routing within Athena.

Administrative Support

  • Provide light assistance with recruiting or marketing tasks as needed.

Experience and Proficiency

  • Excellent English communication skills (written and verbal).
  • Minimum of 1 year of experience in medical assistance or support roles.
  • Hands-on experience with Athena Health or similar EHR systems is required.
  • Must adhere to HIPAA compliance, including use of multi-factor authentication (MFA) and secure data practices.
  • Bilingual in English and Spanish preferred for one designated position.
