Job Summary

The Operations Admin Associate provides administrative and logistical support to the Operations Team to ensure the smooth daily functioning of all store branches. This role involves coordinating documentation, assisting in compliance tracking, organizing branch communications, and supporting key operational processes across all food and beverage brands.

Essential Responsibility and Function:

The Operations Admin Associate will be in charge of the following:

  • Prepare and manage documentation such as memos, reports, checklists, and store communications.
  • Maintain and update operations files, schedules, records, and databases.
  • Assist with internal coordination between the Operations Department and other departments.
  • Support in tracking compliance with operational standards, SOPs, and audit requirements.
  • Coordinate the scheduling of store visits, evaluations, and inspections.
  • Assist in monitoring and documenting branch supply requests and inventory reports.
  • Coordinate with the Purchasing or Warehouse team for timely delivery of materials.
  • Maintain accurate logs of deliveries, requests, and consumption reports.
  • Disseminate official announcements, guidelines, and operational updates to branches.
  • Schedule meetings, store visits, and training sessions for the Operations Team.
  • Take minutes of meetings and ensure timely follow-ups on action items.
  • Consolidate and submit daily, weekly, and monthly operational reports.
  • Assist in data encoding and tracking of performance indicators such as sales trends, manpower updates, and customer feedback.

Job Requirements:

  • Bachelor's degree in Business Administration, Operations Management, Office Administration, or a related field.
  • At least 1–2 years of experience in an administrative or operations support role (experience in F&B or retail is a plus).
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
  • Excellent organizational skills and attention to detail.
  • Strong communication and coordination abilities.
  • Ability to handle multiple tasks in a fast-paced environment.

Job Type: Fixed term

Contract length: 5 months

Pay: From Php20,000.00 per month
