Job Description:

We are seeking a proactive and detail-driven Sales Administrative Assistant to ensure the smooth and efficient operation of the sales department. This role plays a vital part in maintaining accurate documentation, streamlining communication, and supporting end-to-end sales processes. The ideal candidate is highly organized, adaptable, and committed to providing exceptional support in a fast-paced, collaborative environment.

Key Responsibilities:

  • Prepare, update, and maintain sales documentation including quotations, contracts, and client records.
  • Manage and organize customer databases, ensuring records are accurate, up-to-date, and easily accessible.
  • Respond to customer inquiries promptly and professionally to foster strong client relationships.
  • Coordinate and schedule meetings, presentations, and client appointments, preparing all necessary materials in advance.
  • Process sales orders, issue invoices, and track delivery timelines to ensure timely fulfillment.
  • Support onboarding of new sales team members with resources, tools, and orientation materials.
  • Handle administrative tasks, including inventory tracking and logistical support for sales-related events.
  • Ensure compliance of all documentation with company policies and quality standards.
  • Collaborate with internal teams to improve workflows and contribute to sales growth initiatives.

Qualifications:

  • Bachelor's degree in Business Administration, Marketing, Sales, or a related field.
  • Minimum of 1 year of experience in sales support, administration, or customer service.
  • Exceptional organizational skills with strong attention to detail.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with CRM platforms is an advantage.
  • Excellent communication skills, both verbal and written.
  • Self-motivated, adaptable, and capable of working independently while thriving in a team-oriented environment.
