- Maintain calendar of appointments of Residence Manager (RM).
- Maintain and monitor Entertainment forms
- Coordinate with the concerned department head or staff, any concerns/questions written or relayed by Residence Manager. Updates Residence Manager on feedback.
- Take minutes of meetings, distribute copies to all concerned after finalizing.
- Monitor and maintain office supplies stock for the Executive Office.
- Answer telephone calls for the Executive Office.
- Route documents as may be required by the Executive Office.
- Scan documents for the RM – confidential files.
- Coordinate driver's Schedule.
- Check the latest Standards & Guidelines (TAL & cluster). Disseminate copy to all departments.
- Maintain MOD Roster. Review MOD reports for discussion with RM.
- Safe keep and manage Lost & Found Valuables. Conduct a monthly inventory and release and/ or dispose based on prescribed retention period.
- Monitor MUR Lite requests & create GC for guests (AM)
- Maintain files on notices (e.g., HK Pest Control, Typhoons, others).
- Maintain social media accounts
- Ensure standards as defined in SPA – ADMIN section are adhered to.
- Send weekly property operational reports to Regional General Manager Office.
- Completes required reports in appropriate format and within set timeframes.
- Update HR Mandatory Frames, include organizational charts, per department. Conduct regular audit.
- Maintain a monitoring list of all delivered/collected supplier gifts for proper documentation (Gift Declaration Form). Accomplished Gift Declaration Forms to be kept at property. Gift Declaration forms of EMC to be sent to HR.
- Pick-up of payroll documents from cluster HR office and route to Finance Manager and RM, if messenger is not available.
- Conduct monthly checks on staff grooming.
- Prepare name stickers for nameplates at property level
- Facilitate clearance of casuals at property level
- Updating list of casuals at property level
