POSITION SUMMARY

  • The Document Controller Custodian is responsible for managing, organizing, and maintaining the company's documents in both physical and digital formats. This role ensures that all documentation is accurate, up to date, and easily accessible to authorized personnel. The custodian plays a critical role in document control processes, including document tracking, classification, archiving, and retrieval, in compliance with company standards and regulatory requirements. The Document Controller Custodian also works closely with departments to support efficient workflow and maintain data integrity across all documentation systems.

SPECIFIC DUTIES AND RESPONSIBILITIES

  • Copy, scan, and store documents
  • Check for accuracy and edit files
  • Review and update technical documents (e.g. manuals and workflows)
  • Distribute project-related copies to internal teams
  • File documents in physical and digital records
  • Create templates for future use
  • Retrieve files as requested by employees
  • Manage the flow of documentation within the organization
  • Maintain confidentiality around sensitive information and terms of agreement
  • Prepare ad-hoc reports on projects as needed
  • Prepare weekly and monthly project monitoring
  • Update all monitoring related to the project
  • Coordinates with the HRAS department regarding the documents of the project and the employees

QUALIFICATIONS

  • Graduate with a Bachelor's Degree, preferably related to Engineering or Administration
  • Must have at least 1 experience as a project admin/document controller custodian
  • Must be detail-oriented
  • Must have good communication and organizational skills
  • Must be proficient in reporting and documentation
