Job Description

1.Implement and maintain document control processes and procedures.

2.Develop and maintain the document Management System

3.Manage company documents while ensuring their accuracy, quality and integrity.

4.Ensures to establish procedures or standard (document numbering, formats, issuance, review, dispatch, records and archiving).

5.Maintain and manage electronic and hard copy documents as required

6.Process incoming documents (registration to QMS, internal distribution)

7.Process outgoing documents (transmittal to customers and relevant parties)

8.Make sure that controlled copies of latest approved documents and materials are distributed internally and externally (customers and relevant interested parties)

9.Ensure control and coordination of all documentation and data/s

10.Ensure all documents are correctly labelled/ identified, distributed and filed/stored

11.General document control activities such as photocopying, scanning, analysis is in compliance with standards.

12.Assist in the preparation collation and issuance of reports and registration as required.

13.Assist in the preparation of Management Review presentations by collating all reports from all departments.

14.Communicate and liaise with Mill & Head office teams, project teams, suppliers/3rd parties to agreed standards, systems, efficient flow of documentation, handover and close-out of all activities to ensure consistency in document control as required & other ISO-related activities.

15.Monitor technical documents review and approval in accordance with agreed schedule.

16.Ensuring the use of standardization forms and templates.

17.Help company to adhere record retention policies, safeguard information and retrieve data more accurately.

18.Archive inactive records in accordance with the retention schedule

19.Help project team/QMS team develop and maintain documents such as minutes of the meeting and reports

20.Assist in file migration, audits and perform admin tasks as needed

  • College Degree, or 2 year degree(IT related courses/secretariat
  • At least 2 years of experience as ISO DDC is an advantage
  • Fresh Graduates are welcome to apply (preferably IT related courses)
  • knowledgeable on ISO
  • Applicants must be willing to work in Paralayunan, Mabalacat City, Pampanga.
