Fleet Insurance Coordinator

The Fleet Insurance Coordinator supports the daily administration of insurance activities for the company's fleet, including 2-wheel (2W) and 4-wheel (4W) vehicles. The role assists in managing insurance policies, processing claims, coordinating with insurance providers, and maintaining updated and accurate documentation. The Fleet Insurance Coordinator helps ensure timely claim resolution, continuous policy coverage, and overall risk reduction within fleet operations.
Key Responsibilities:
Insurance Administration
- Assist in managing insurance policy requirements such as renewals, endorsements, and coverage updates.
- Maintain organized and updated insurance records for all fleet vehicles.
- Track policy expirations and coordinate timely renewals to avoid coverage gaps.
- Verify that all policy documents are properly filed and accessible.
Claims Support & Coordination
- Facilitate the end-to-end processing of insurance claims, from incident reporting to settlement.
- Gather necessary documents, photos, and incident reports for claims filing.
- Coordinate with drivers, operations teams, and insurance providers regarding claim status.
- Monitor claim timelines and follow up with insurers to ensure timely processing.
- Assist in assessing incidents to determine whether repairs should go through insurance or internal/partner shops.
Vendor / Insurance Partner Coordination
- Coordinate with insurance companies, brokers, and adjusters for claims and policy-related matters.
- Track service performance of insurers, including turnaround time and support quality.
- Help facilitate renewal discussions and document submissions during negotiations.
Risk Management Support
- Assist in collecting and analyzing data related to accidents, claims, and recurring issues.
- Help identify trends that may contribute to fleet risks or increased insurance costs.
- Coordinate with Operations and Safety teams to reinforce compliance with safety guidelines and accident-prevention measures.
Reporting & Compliance
- Prepare and update regular reports on claims status, insurance costs, and fleet coverage.
- Ensure compliance with regulatory and internal insurance requirements.
- Maintain confidentiality and integrity in managing insurance files and sensitive documents.
Other Duties
- Perform additional tasks as assigned to support efficient transport and insurance operations.
Qualifications
- Bachelor's degree in Business Administration, Risk Management, Finance, or related field.
- At least 3–5 years of experience in insurance management, fleet insurance, claims handling, or risk management.
- Experience in logistics, transport, ride-hailing, or fleet operations is a strong advantage.
- Strong understanding of vehicle insurance policies, claims processes, and industry regulations.
- Excellent negotiation, coordination, and vendor management skills.
- Analytical mindset with the ability to interpret claims data and identify risk trends.
- Strong communication and interpersonal skills.
- High attention to detail and strong organizational skills.
- Ability to work under pressure and manage high claim volumes.
