Client Billing Onboarding Specialist Job Description
Elder Care Homecare is seeking a detail-oriented Client Billing Onboarding Specialist to join our growing team. We are a private pay homecare agency servicing Westchester County, Long Island, and the NY Metro Area, with additional expansion planned within the next year.
Elder Care has been in operation for over seven years, however our growth has dramatically increased over the last two. This role is remote and based in the Philippines.
As a Client Billing Onboarding Specialist, you will be responsible for ensuring the accurate and timely setup of new client accounts, acting as the primary point of contact for billing-related matters during onboarding. The ideal candidate will be organized, proactive, and comfortable working cross-functionally with multiple teams. Responsibilities:
- Run reports for newly onboarded clients (e.g., First Care Log Date) to initiate billing setup.
- Act as the primary point of contact for all billing-related aspects of new client onboarding.
- Review service agreements received via Billing and Finance emails to verify completeness and accuracy.
- Set up new client profiles in internal systems (e.g., WellSky and QuickBooks), including:
- Tagging appropriate payment terms and payer type,
- Entering selected payment method (ACH, credit card, check, wire, or online portal), and
- Adding and organizing all relevant client contact information
- Collect deposits for clients under arrears payment terms.
- Create and collect the first invoice for clients on advance payment terms.
- Generate and post deposit invoice and payment in QuickBooks.
- Support AR/Collections efforts specifically for deposits and initial payments.
- Maintain accurate and up-to-date onboarding records and ensure all documentation is properly organized.
- Collaborate with internal teams (Finance, Care Management, Client Services) to ensure onboarding milestones are met and client expectations are managed effectively
What We're Looking For:
- 2+ years of experience in client billing, finance, or related operations
- 2+ years of experience in customer service
- Proficiency with QuickBooks and/or WellSky is a plus
- History of being detail-oriented, accurate, and organized while managing multiple tasks
- Strong communication skills and ability to collaborate across departments
- Comfort with critical thinking and problem solving
- Ability to work EST hours when required
- Willing to use own equipment for the role
Job Type: Full-time
Pay: Php45, Php55,000.00 per month
