Job Summary:

The Compliance & Documentation Officer is responsible for ensuring the company and it's eCommerce brands comply with all regulatory, statutory and legal requirements. This roles manages the preparation, filing and safekeeping of all essential corporate documents including FDA, Intellectual Property Office (IPOPHL), SEC, BIR and local government permits.

**Key Responsibilities:

REGULATORY COMPLIANCE**

1. Monitor and ensure timely submission/renewal of: 1.1 FDA Licenses, product registrations, CPR, LTO

1.2 Intellectual Property registrations (trademarks, patents with IPOPHL)

1.3 SEC reqs: General Information Sheet (GIS), Annual Financial Statement (AFS)

1.4 BIR filings and permits

1.5 LGU permits: Mayor's Permit, Brgy. Clearance, Sanitary permits etc.

2. Maintain a compliance calendar (renewal schedules, deadlines, reminders)

3. Coordinate with consultants, auditors or law firms regarding specialized filings.

4. Track new regulations affecting eCommerce, retail and importation and alert management.

DOCUMENTATION & RECORDS MANAGEMENT1. Organize and maintain digital and physical archives of all corporate documents.

2. Implement a filing and retrieval system for contracts, permits, registrations and certifications.

3. Ensure all files are properly cataloged, backed up and accessible to authorized staff.

4. Keep copies of board resolutions, contracts, supplier agreements and company policies.

5. Prepare compliance reports and present them to management regularly.

GOVERNMENT LIASON1. Act as primary contact with FDA, IPOPHL, SEC, BIR, LGUs and other regulatory bodies.

2. Attend meetings, hearings or inspections as required.

3. Facilitate smooth processing of permits, renewals and government requirements.

CORPORATE GOVERNANCE SUPPORT1. Assist in preparing board resolutions and meeting documentation.

2. Support the Corporate Secretary in SEC filings and corporate housekeeping.

3. Maintain confidentiality and ensure sensitive company documents are safeguarded.

Qualifications:

*Bachelor's degree in Business Administration, Legal Management, Political Science or related fields.

*Minimum 2-3 years experience in regulatory compliance, legal documentation or corporate admin.

*Familiarity with FDA, IPOPHL, SEC, BIR and LGU processes is a strong advantage.

*Experience in regulated industries is preferred.
