
PMO Project Coordinator

The Project Coordinator is a key support role within the Project Management Office (PMO), responsible for the day-to-day administration and tracking of project activities. This individual will work closely with Project Leads/Managers to ensure all project information is accurately captured, managed, and communicated.
The core focus of this role is maintaining the integrity of the internal Site Tracker, our Single Source of Truth (SSOT), by ensuring all milestone updates and required documentation are completed in a timely manner.
The Project Coordinator is essential for facilitating smooth communication and handovers between departments, enabling the entire project team to operate efficiently.
In particular successful candidate,
Project Tracking and Data Management:
o Perform timely and accurate data entry for all project milestones into the Site Tracker, from "Endorsement" to "Energization."
o Upload and organize all necessary documentation for each project phase as required by the "Site Tracker Adoption & Accountability Framework" (e.g., SAQ Reports, Engineering Designs, Permits, RFTI Certificates).
o Conduct regular data quality checks within the Site Tracker to identify and correct discrepancies, ensuring it remains the reliable SSOT.
Inter-Departmental Coordination:
o Act as a key communication link by following up with departmental Single Points of Contact (SPOCs) to ensure timely completion of their tasks and smooth handovers.
o Assist in monitoring the progress of procurement activities, including the status of Purchase Requests (PR) and Purchase Orders (PO) for vendor allocation.
o Schedule cross-functional project meetings, prepare agendas, and distribute meeting minutes to all stakeholders.
Administrative and Reporting Support:
o Assist Program Manager in preparing weekly and monthly project status reports by extracting data and charts from the Site Tracker.
o Maintain organized and up-to-date project files and documentation, both digitally and physically where required.
o Help develop and maintain standardized project templates, checklists, and process documents to support the PMO's functions.
Issue Monitoring:
o Monitor project timelines and flag potential delays or upcoming deadlines to the Project Manager.
o Document issues and risks raised during project execution in the Site Tracker for escalation and review.
QUALIFICATIONS
Experience:
o 1-3 years of experience in a project coordination, project administration, or a similar role.
o Experience working in a fast-paced, deadline-driven environment is essential.
o Previous experience in the telecommunications, construction, or engineering industry is a significant advantage.
Skills & Competencies:
o Exceptional attention to detail and strong organizational skills are mandatory.
o Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and/or Google Workspace.
o Excellent written and verbal communication skills.
o Ability to manage multiple tasks simultaneously and prioritize effectively.
o A proactive and collaborative team player with a strong sense of ownership.
Education:
o Bachelor's Degree in Engineering (Civil, Electrical, Electronics), Information Technology, Business Administration, or a related technical field is preferred.
Entry-level certifications or training in project management (e.g., CAPM) are a plus but not required.
