Overview

We are looking for a detail-oriented and dependable Virtual Assistant to join our Investor Relations team. This role plays a key part in supporting back-end operations that ensure a smooth investor experience. Responsibilities include document tracking, inbox monitoring, data entry, compliance checks, and account maintenance. The ideal candidate is organized, proactive, and comfortable working independently in a fast-paced, process-driven environment.

Key Responsibilities

Investor Account Administration

Process Transfer of Interest requests:

  • Prepare and send signature documents via AdobeSign
  • Set up new accounts and positions in InvestNext
  • Submit internal requests for final processing

Manage Fair Market Valuation (FMV) requests:

  • Input investor details into the required forms
  • Deliver finalized forms to investors

Compliance & Documentation:

  • Generate and send weekly Blue Sky Filing (BSF) reports
  • Review commitment paperwork to confirm:
  • Accurate tax ID entries
  • Proper entity alignment

Data Tracking & Cleanup

  • Record investor wire activity and track confirmations
  • Maintain and audit investor accounts in InvestNext:
  • Follow up with investors missing distribution setup
  • Flag incomplete tax IDs or mailing addresses
  • Manage denied accreditations and send templated notices
  • Review and troubleshoot distribution errors
  • Update deal-level dashboards and internal documentation

Inbox & Communication Support

  • Monitor Aloware (text/call inbox):
  • Assist with investor text responses
  • Return missed calls/voicemails and screen requests
  • Escalate substantive questions to Investor Relations Associate
  • Provide general email inbox support as needed

Qualifications

  • Prior experience in support or operations (real estate, finance, or CRM familiarity a plus)
  • Strong attention to detail and ability to manage multiple tasks
  • Comfortable using tools such as HubSpot, InvestNext, and Google Workspace (training provided)
  • Clear and professional written communication skills
  • A self-starter with the ability to work independently and meet deadlines
  • Candidate must be available for overlapping hours with the Investor Relations team, starting between 9–10am EST, to handle time-sensitive requests in real time.

Preferred Tools Experience

  • HubSpot (or similar CRM)
  • InvestNext (or equivalent investor portal)
  • Google Workspace
  • AdobeSign / DocuSign
  • Aloware (or other phone/text platforms)

Job Type: Part-time

Pay: Up to Php22,800.00 per month

Expected hours: 20 per week

Experience:
