Due to continued success and growth, this Company is looking for an exceptional paralegal with Australian conveyancing experience to become part of their friendly yet professional team.
This is a full-time, permanent WFH role (not a contract position) working 9:00 AM – 5:00 PM Queensland time (7:00 AM – 3:00 PM PH time), Monday to Friday.

Role OverviewAs a Conveyancing Paralegal, you will play a key role in assisting our property lawyers with end-to-end conveyancing transactions for residential properties. From initial contract preparation to final settlement, you'll be the go-to person ensuring every step of the conveyancing process runs smoothly.
Although you will not be required to speak with clients on the phone - you will draft written communications with clients and stakeholders, manage documentation, and utilise modern legal tools (like Smokeball, InfoTrack, PEXA) to streamline transactions. This position is perfect for someone who is detail-oriented, customer-service focused, and excited about working in a fast-paced legal environment with an international team.
Key Responsibilities· Manage Conveyancing Files: Assist the lead property lawyer with end-to-end conveyancing transactions, including preparing and reviewing Contracts of Sale, disclosure statements, and settlement documents. Ensure all documentation is accurate and completed on time.
· Stakeholder Coordination: Liaise with clients, real estate agents, banks, and other legal representatives to coordinate contract signing, finance and inspection conditions, and settlement schedules. Track all key dates and requirements to prevent any critical deadline from being missed.
· Title & Document Processing: Perform title searches and obtain necessary property certificates; handle lodging of documents and any required contract amendments or court document preparation with a high level of diligence.
· Client Communication: Keep clients and stakeholders up to date throughout the conveyancing process by drafting and sending written communication in a professional, friendly manner, ensuring an excellent client experience. IMPORTANT: No Phone Communication with clients is required.
· Data Entry & File Management: Maintain organised digital case files. Input and update data in our legal practice management systems (we use Smokeball for matter management) and e-conveyancing platforms like InfoTrack and PEXA for lodgements. Ensure all records are up-to-date and information is entered with utmost accuracy.
· Collaboration & Support: Work closely with Australian-based lawyers and other remote paralegals. Escalate complex matters to senior staff when needed and support the broader legal team with general administrative duties or special projects as required. You'll contribute to a collaborative team culture even while working remotely.
Qualifications & Skills· Experience: Minimum 2+ years of experience as a Paralegal, Law Clerk, or in a similar legal support role in QUEENSLAND, Australia. Experience in residential property transactions in Queensland or other Australian states will also be considered regarded.
· Conveyancing Knowledge: Strong understanding of the end-to-end conveyancing process and familiarity with property law procedures. (Knowledge of Queensland property contracts and settlement practices is a plus.)
· Technical Skills: Proficiency in using legal and conveyancing software such as Smokeball, InfoTrack, PEXA, or similar tools. Comfortable with Microsoft Office (Word, Excel, Outlook) for correspondence and scheduling.
· Communication: Excellent English communication skills, both written and verbal. Able to draft clear emails and documents, and confident in speaking with clients and other professionals via phone/Zoom. Customer-service orientation is essential – you can convey information in a friendly, patient, and professional manner.
· Detail & Organisation: Exceptional attention to detail with the ability to spot errors or missing information in documents. Highly organised and capable of managing multiple files, tasks, and deadlines simultaneously without sacrificing accuracy.
· Proactive Attitude: Self-motivated and proactive in resolving issues – you take initiative to follow up on pending items and solve problems that arise during the conveyancing process. You work well independently in a remote setting and can adapt to new tools or changes in procedures quickly.
· Education: A bachelor's degree in Law, Legal Management, or a related field is preferred. Formal paralegal training or certification is a plus but not strictly required. Real-world experience and a willingness to learn are most important to us.
Work Setup & ScheduleThis is a permanent work-from-home position. Work hours are 9:00 AM – 5:00 PM Queensland (AEST), which is approximately 7:00 AM – 3:00 PM Philippine time, following Australian business hours. You will observe Australian (QLD) public holidays (Philippine public holidays are generally considered working days, with time off given on the Australian holidays in exchange).
We will provide a company-issued laptop and necessary software access for your work. Note: You must have a reliable, fully equipped home office setup – this includes a quiet, distraction-free workspace, a stable primary internet connection (and backup internet), and a dual-monitor or multi-monitor setup to maximise productivity. (Having at least two monitors is highly recommended for handling multiple documents and platforms efficiently, as our work can be fast-paced.)
