Executive Assistant to the President

The Executive Assistant to the President provides high-level administrative and professional support to ensure the efficient operation of the Office of the President. This role is responsible for facilitating communication, managing schedules, preparing reports and correspondence, and assisting in strategic and operational activities. The Executive Assistant serves as a key liaison between the School President and internal as well as external stakeholders, upholding the highest standards of professionalism, confidentiality, and organizational efficiency.
Key Responsibilities:
1. Administrative Support
- Facilitate effective communication between the School President and faculty, staff, and external stakeholders.
2. Scheduling and Coordination
- Organize and coordinate meetings, ensuring timely preparation of agendas and materials.
- Manage the President's calendar and schedule, ensuring efficient time management and prioritization.
- Assist in the planning and execution of special events and institutional activities.
3. Confidentiality and Communication
- Handle confidential and sensitive information with discretion and integrity.
- Ensure seamless coordination between the President and key stakeholders while maintaining confidentiality.
- Represent the Office of the President in a professional and diplomatic manner.
4. Research and Data Compilation
- Conduct research and compile data to support decision-making processes.
- Provide concise summaries and reports to aid the President in strategic planning and policy formulation.
5. Additional Support
- Perform other administrative and operational tasks as may be assigned to ensure the smooth functioning of the Office of the President.
- Prepare correspondence, schedules, reports, budget requests, presentations, and other documents on behalf of the President.
- Monitor and manage incoming communication, including phone calls, emails, and inquiries.
- Maintain accurate records, files, and documentation for the Office of the President.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Assistant, preferably supporting top-level executives.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and scheduling/management software.
- Ability to work under pressure and adapt to dynamic priorities.
- Experience in event coordination and stakeholder relations is an advantage.
- High level of professionalism, attention to detail, and problem-solving skills.
- Must be willing to work onsite within Mother Ignacia, Quezon City.
