This is a remote position.

Virtual Rockstar is hiring an Executive/ Administrative Assistant on behalf of one of our valued pediatric therapy partners. This role will provide high-level administrative and operational support to the leadership team of a family-owned practice dedicated to helping children thrive.

Responsibilities

Executive Support
  • Manage email and calendars for leadership, ensuring smooth scheduling and timely follow-up.

  • Assist with general administrative tasks, correspondence, and project organization.

Human Resources Support
  • Post job listings and respond to applicants.

  • Assist with scheduling interviews and coordinating candidate communication.

  • Support the creation and updating of employee review forms and standard operating procedures (SOPs).

  • Manage onboarding of new employees, including obtaining new hire documents, supporting training schedules, and preparing materials.

  • Assist with credentialing of new clinicians.

  • Keep employee files current and organized.

Operations & Marketing
  • Assist with website updates (WordPress).

  • Contribute to social media and blog content creation.

  • Help with payroll processes and audit paysheets.

Data & Financial Support
  • Enter and track deposits in spreadsheets.

  • Maintain and update practice statistics and reports.

Requirements
  • Proven experience in executive or administrative support, preferably in a healthcare or therapy-related setting.

  • Highly detail-oriented and organized — someone who thrives on accuracy and consistency ("Type A" personality welcome).

  • Strong proficiency in Microsoft Excel and other Microsoft 365 tools.

  • Familiarity with WordPress and social media platforms.

  • Ability to manage sensitive information with discretion.

  • Self-motivated, resourceful, and excellent at prioritizing multiple tasks.
