Your Role
As a Virtual Assistant, you are responsible for:
- Manage your calendar (meetings, reviews, follow-ups)
- Schedule appointments with staff, clients, stakeholders
- Respond to routine emails or draft replies for you to review
- Organise Zoom/Teams meetings and share agendas
- Manage to-do lists and reminders
- Format/edit Word documents, policies, forms, and templates
- Update and organise shared folders (Google Drive, OneDrive)
- Prepare Canva designs (flyers, posters, brochures)
- Assist in preparing board papers or monthly reports
- Create checklists and SOPs from rough notes
- Post job ads on Seek, Indeed, and social media
- Screen resumes and set up interview schedules
- Collect and verify onboarding documents
- Track training renewals (e.g., First Aid, WWCC)
- Draft letters and HR memos
- Keep track of due dates for audits, checks, and reviews
- Populate registers: incidents, complaints, training, policies
- Ensure all staff documents are up-to-date and audit-ready
- Assist with internal audits by gathering evidence
- Record invoices and receipts
- Send out reminders to participants/families for payments
- Track petty cash or house budgets (with your finance lead)
Qualifications:
- At least 1-2 years experience as a Virtual Assistant or related role
- Experience in handling phone calls (desirable), email management, appointment setting/calendar, admin support
- Experience with NDIS is desirable
- Excellent communication skills both written and verbal
- Help implement HR software or compliance tools
- Create master trackers (Excel/Google Sheets)
- Help set up email automation for onboarding/follow-ups
- High accuracy and attention to details
- High organization skills
- Time management skills, able to adhere on time constraint deadlines
- Ability to adapt to culture/environment of the client
- Willing to be trained and acquire new software/skills
