Job Description

Key Responsibilities

1. Procurement Planning & Execution

  • Oversee the end-to-end procurement process—from requisition to receipt—including sourcing, negotiation, order placement, and vendor management.
  • Develop and execute procurement strategies to ensure timely delivery of quality goods and services at optimal cost.
  • Analyze market trends to identify cost-saving opportunities and supply risks.
  • Conduct competitive bidding and evaluate proposals from multiple vendors.
  • Negotiate supplier contracts to secure favorable terms, pricing, and service-level agreements.
  • Manage purchase orders, monitor shipment status, and resolve delivery or quality-related issues.

2. Vendor Management

  • Build and maintain strong working relationships with key suppliers.
  • Conduct regular supplier performance evaluations and address performance gaps.
  • Identify, assess, and qualify new suppliers to strengthen the company's vendor portfolio.
  • Resolve supplier issues, disputes, and negotiate mutually beneficial solutions.

3. Team Management

  • Supervise and mentor purchasing assistants or buyers.
  • Assign tasks, set priorities, and monitor team productivity.
  • Train team members on procurement policies, procedures, and best practices.
  • Conduct performance evaluations and provide continuous coaching and feedback.

4. Inventory Management

  • Monitor inventory levels to ensure adequate supply for production and operational requirements.
  • Coordinate with production, warehouse, and supply chain teams to optimize inventory planning.
  • Implement strategies to reduce inventory holding costs, prevent stockouts, and avoid overstock situations.

5. Data Analysis & Reporting

  • Track and analyze procurement KPIs such as lead times, supplier performance, and cost savings.
  • Prepare regular reports and dashboards for management review.
  • Use data insights to recommend improvements in procurement processes and strategies.

6. Compliance

  • Ensure full compliance with procurement policies, procedures, and applicable regulations.
  • Maintain accurate and complete records of all procurement transactions.
  • Conduct internal audits to verify adherence to company policies and industry standards.

Qualifications:

  • Bachelor's degree in Supply Chain Management, Business Administration, or a related field.
  • At least 3 years of experience in procurement or purchasing, with a minimum of 2 years in a supervisory or leadership role.
  • Strong knowledge of procurement principles, strategies, and best practices.
  • Excellent negotiation, communication, and supplier management skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and ERP systems.
  • Strong analytical, problem-solving, and decision-making abilities.
  • Effective organizational and time management skills.
  • Strong leadership, mentorship, and team management capabilities.
  • Ability to work both independently and collaboratively.
