Location: Iloilo | Remote | Full-time

We are seeking a highly organized, self-motivated, and detail-oriented Administrative Virtual Assistant to support our property management and construction projects.

Key Responsibilities:

  • Prepare, edit, and format project documentation, forms, and reports.
  • Manage client, partner, and contractor communications via WhatsApp, email, and occasional calls.
  • Schedule, track, and follow up on project tasks and deadlines in ClickUp and Trello.
  • Maintain and organize files in Google Drive.
  • Create and manage forms, spreadsheets, and trackers using Google Forms and Google Sheets.
  • Update and maintain CRM records in HubSpot.
  • Use ChatGPT, Sora, and similar tools to draft communications, proposals, and marketing content.
  • Assist with social media scheduling and posting via Meta Business Suite.
  • Prepare simple designs and visuals using Canva.
  • Monitor and update online listings and profiles (e.g., MyBuilder, Bark, Houzz Pro, Airbnb, ).
  • Provide basic data entry and reporting support in QuickBooks (preferred but not required).

Requirements:

  • Fluent written and spoken English (must be able to write professional emails).
  • Excellent attention to detail and organizational skills.
  • Confident in speaking with partners, architects, and trades.
  • Self-starter who can work with minimal supervision.
  • Comfortable working under pressure in a fast-paced environment.
  • Comfortable with technology and quick to learn new software.
  • Able to manage multiple priorities and deadlines independently.
  • Available to work full-time between 4:00 PM – 2:00 AM PH time (9:00 AM – 6:00 PM UK time).
  • Strong communication skills and professional telephone manner.
  • Previous virtual assistant or administrative experience (preferred but not required).
  • Experience in property management or construction (advantage but not required).
