Site Admin Officer

LOCATION: ILOILO, WESTERN VISAYAS, PHILIPPINES
Work Arrangement:
- Temporarily stationed in a
co-working space near Iloilo Richmonde Tower Complex
. - Will transfer to
WrkPod Iloilo Office (Richmonde Tower, Megaworld Boulevard, Mandurriao District)
once construction is completed.
Qualifications:
- Bachelor's degree in Business Administration, Operations Management, or related field.
- At least 3 years' experience in admin or operations roles (BPO/facilities management preferred).
- Strong leadership and team management background.
Overview:
Responsible for managing the
daily operations of the WrkPod Iloilo site
, ensuring smooth facility operations, staff productivity, compliance, and coordination between admin and client-service teams.
Main Responsibilities:
Site & Facility Operations
- Ensure the site is safe, clean, and compliant with health and safety standards.
- Coordinate repairs, maintenance, and upgrades with the Facilities Supervisor.
- Oversee contractors, construction progress, and project timelines.
- Manage site-related budgets and track expenses.
- Conduct regular site inspections and ensure quality and compliance.
- Identify cost-saving measures without affecting quality.
- Act as main point of contact for clients, management, and contractors.
Staff Oversight
- Monitor productivity and performance of VA-Ps and WrkPod staff.
- Work closely with HR, Training, and Concierge Managers to support staff.
- Help team members meet KPIs and maintain a positive, collaborative environment.
Operational Management
- Ensure day-to-day site operations align with company goals and client commitments.
- Resolve issues promptly and escalate major concerns to the Operations Manager.
Client Support
- Support the Concierge Services Manager with site-related client concerns.
- Coordinate with HR and Concierge teams for smooth service delivery.
- Use client feedback to improve site efficiency and service quality.
Compliance & Reporting
- Maintain accurate site, attendance, and performance records.
- Ensure compliance with WrkPod policies and regulations.
- Submit regular performance and operations reports to management.
Team Coordination & Training
- Assist HR and Concierge in onboarding and training new staff.
- Conduct team meetings to share updates and address issues.
- Identify training needs and recommend development programs.
Emergency & Safety
- Oversee emergency protocols and conduct safety inspections.
- Coordinate contingency plans to minimize disruptions.
