Job Description – Admin Supervisor Leasing and Project Management

Position Title: Admin Supervisor – Leasing and Project Management

Reports To: Admin Manager

Department: Administration

Employment Status: [Regular/Probationary – specify]

Position Overview

The Admin Officer is responsible for coordinating all administrative requirements related to leasing, construction, compliance, and project documentation for new and existing company locations. This role ensures smooth communication between internal departments, building administration, contractors, and other stakeholders to support operational readiness and compliance.

Key Responsibilities:

  1. Leasing Coordination

  2. Liaise with landlords, leasing officers, and mall/building administration regarding lease requirements, renewals, and agreements.

  3. Ensure all leasing documents are complete, properly signed, and filed.

  4. Coordination with Building Administration

  5. Act as the point of contact with mall/building admin for operational and construction-related matters.

  6. Secure necessary building clearances and approvals.

  7. Construction Permit and Compliance

  8. Facilitate the processing and securing of construction permits, occupancy permits, fire safety compliance, and other related requirements.

  9. Ensure all permits and compliance documents are obtained before project commencement and store opening.

  10. Project Documentation

  11. Maintain accurate and updated project files, contracts, correspondence, and compliance certificates.

  12. Prepare and submit project-related reports to the Admin Manager.

  13. Coordination with Contractors

  14. Communicate project requirements, timelines, and compliance expectations to contractors.

  15. Monitor contractor performance and escalate issues to the Admin Manager when necessary.

  16. Project Completion and Turnover

  17. Oversee the final inspection and completion of projects.

  18. Ensure complete turnover to the Operations team, including all necessary documents and compliance certifications.

  19. Coordination with Involved Departments or Colleagues

  20. Work closely with Operations, Finance, Purchasing, and other departments to ensure smooth project execution and handover.

  21. Provide updates and seek approvals as needed.

  22. Reporting

  23. Prepare regular status updates and progress reports for the Admin Manager.

  24. Highlight delays, risks, or issues affecting project timelines and compliance.

Performance Evaluation Criteria:

Performance will be measured based on the following:

  • Timeliness and accuracy in securing permits and compliance documents

  • Efficiency in coordinating with building admins, contractors, and internal teams

  • Accuracy and completeness of project documentation

  • Ability to meet project deadlines and support successful turnovers

  • Communication and coordination skills with stakeholders

  • Adherence to company policies and reporting protocols

Qualifications:

  • Bachelor's degree in Business Administration, Office Administration, or related field

  • At least 2 years of experience in admin/project coordination, preferably in retail or construction

  • Knowledge of construction permits, building regulations, and compliance requirements

  • Strong organizational and communication skills

  • Proficient in MS Office (Word, Excel, PowerPoint)

  • Ability to handle multiple projects simultaneously and work under tight deadlines

Job Type: Full-time

Pay: Php25, Php35,000.00 per month
