We are seeking a detail-oriented administrative professional to join our team as a Secretary/Bookkeeper. This role will involve providing high-level administrative support to management and field staff, ensuring office operations run smoothly and efficiently.
Responsibilities:- Answer incoming phone calls, direct them appropriately, or take messages in a professional and courteous manner.
- Enter work orders into the system and update job statuses as required, maintaining accurate records of all transactions.
- Create and process invoices accurately and on time, adhering to company standards and regulations.
- Assist with accounts payable and receivable entries, ensuring prompt payment and timely reconciliations.
- Conduct research on permit and license requirements for new projects, job sites, or services, staying up-to-date with changing regulations.
- Maintain and organize digital and paper records for jobs, invoices, and documentation, adhering to data protection and confidentiality protocols.
- Provide administrative support to management and field staff, including scheduling, email correspondence, and other office tasks as needed.
- Proven experience in an administrative or bookkeeping role, with a strong track record of accuracy and attention to detail.
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook), with advanced skills in data entry, invoicing, and accounting software.
- Excellent communication and interpersonal skills, with the ability to work effectively with colleagues, clients, and external stakeholders.
- Strong organizational and multitasking abilities, with a focus on prioritizing tasks, managing deadlines, and maintaining a high level of productivity.
- Ability to work independently, handle confidential information, and maintain a professional demeanor in all interactions.
- Familiarity with permit/license research or willingness to learn, with a commitment to staying up-to-date with changing regulations and industry developments.
- High attention to detail and accuracy in data entry and invoicing, with a focus on preventing errors and ensuring compliance with company policies and procedures.
This is a remote position, offering the flexibility to work from home and enjoy a better work-life balance.
The ideal candidate will be able to work night shifts (EST) and meet tight deadlines, while maintaining a high level of productivity and accuracy throughout their shift.
