
Professional Executive Assistant

We are seeking a highly skilled and organized professional to join our team in an executive support role. The successful candidate will be responsible for managing administrative tasks, triaging emails, and maintaining databases.
The ideal candidate will have excellent communication and organizational skills, with the ability to work independently and as part of a team. They will be proficient in Google Workspace, Excel, and Microsoft Word, and have experience with CRM software and sales tools is a plus.
Key Responsibilities- Administrative Support:
- Manage and prioritize email communications, ensuring timely responses to inquiries.
- Maintain and update databases, including vendor lists and press releases.
- Coordinate calendar management, scheduling meetings and resolving conflicts.
- Oversee computer and equipment maintenance, procurement, and inventory management.
- Manage office supplies and coordinate maintenance requests.
- Arrange travel itineraries and related correspondence.
- Create and execute detailed expense reports for business trips.
- Client and Business Development Support:
- Triage and respond to inbound inquiries from potential clients.
- Maintain the CRM system and ensure accurate daily updates.
- Assist in organizing business development activities and participate in outreach efforts.
- Prepare welcome packages for new clients.
- Communications and Marketing Support:
- Support the team in updating website and social media content.
- Manage online entries for awards and recognition programs.
- Research journalists and send press releases on behalf of the company.
- Identify and pursue opportunities for speaking engagements and partnerships.
- Support the Founder in managing the content calendar for social media.
- Assist in coordinating in-house projects and events.
- HR and Finance Support:
- Maintain payroll systems, including employee onboarding and offboarding processes.
- Draft contracts for employees and freelancers.
- Manage sick leave protocols and employee communications.
- Support recruitment efforts, including candidate application review.
- Coordinate employee onboarding and offboarding processes.
- Process and manage accounts payable and receivable.
- Perform weekly bookkeeping reconciliations.
- 4+ years of experience in executive assistance, communications, or marketing.
- Proficiency in Google Workspace, Excel, and Microsoft Word.
- Experience with CRM software and sales tools is a plus.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
