Job Overview

We are seeking a highly organized, proactive professional to support our operational growth and drive efficiency as we expand into new markets. You will manage communications, streamline processes, handle scheduling, invoicing, and compliance, and work closely with leadership to achieve business goals.

Key Responsibilities:
  • Manage multiple email inboxes and respond to client communications within 24-hour timeframes.
  • Generate quotes and invoices using industry-standard software, ensuring accurate job costing and timely billing.
  • Schedule jobs and coordinate resources to optimize crew efficiency and minimize travel time between sites.
  • Manage accounts receivable processes and reduce aging by implementing effective payment strategies.
  • Coordinate with project managers on project administration and resource allocation.
  • Organize and maintain all job documentation, compliance records, and regulatory requirements.
  • Create and maintain Standard Operating Procedures (SOPs) for all business processes.
Requirements:
  • Strong experience in operations or administration in the construction industry.
  • Proficiency with job management software, preferably industry-standard systems.
  • Excellent written and verbal communication skills.
  • Experience with invoicing, accounts receivable, and basic financial administration.
  • Strong organizational skills and attention to detail.

This is a full-time, hands-on role with real responsibility and room to grow as the business expands.
