
Virtual Operations Coordinator

We are seeking a highly organized and detail-oriented Executive Assistant to join our team. The ideal candidate will have excellent communication skills, be proficient in Microsoft Outlook and CRM systems, and have experience in administrative roles, preferably in a virtual or remote capacity.
The Executive Assistant will provide administrative support to our operations team, manage email communication, draft and send follow-ups, and assist in drafting scopes of work and other client documentation. They will also implement and manage task and project management software, such as Asana, and navigate client inquiries related to tax preparation services.
The successful candidate will have a strong organizational and multitasking ability, with a high level of attention to detail. They will also possess excellent communication and interpersonal skills, and be able to manage and prioritize multiple tasks effectively.
Responsibilities:
- Administrative Support
- Input client information into our CRM system
- Manage email communication, including drafting and sending follow-ups
- Assist in drafting scopes of work and other client documentation
- Implement and manage task and project management software (e.g., Asana)
- Client Communication
- Navigate client inquiries related to tax preparation services
- Facilitate next steps for clients
- Provide exceptional customer service
- Social Media Management
- Use pre-designed templates to post content on social media platforms daily
- Respond to messages and comments on social media
- Project Implementation
- Complete online training courses for project management software (e.g., Asana)
- Organize internal operations and create streamlined workflows
Requirements:
- Fluent in English
- 5+ years proven experience in administrative roles, preferably in a virtual or remote capacity
- 1+ years experience in bookkeeping or accounting, or a strong interest in learning
- Familiarity with tools such as Asana, Keeper, and TaxDome (preferred but not required; training will be provided)
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to manage and prioritize multiple tasks effectively
- Self-starter who can work independently with minimal supervision
- Knowledge of Microsoft Outlook and CRM systems
- Availability to work U.S. business hours (9 AM – 5 PM CST)
