Senior Proposal Coordinator Job Description

The Senior Proposal Coordinator plays a vital role in the pursuit and sales enablement team by coordinating and managing proposals for all parts of the business.

Job Responsibilities:
  • Assist the Team Leader in training proposal coordinators, provide guidance to the team on client development principles and liaison with section managers on required trainings.
  • Manage the team's workload by assigning requests to proposal coordinators and ensure timely submission of deliverables by monitoring progress and adjusting resource allocation as needed.
  • Review and evaluate proposal documents including technical, financial and provide guidance on any identified risks.
  • Collaborate with regional pursuit teams and bid managers to prepare proposal matrix plans that meet client objectives and determine key win themes/messages.
  • Manage proposals according to established guidelines for high level service to the business.
  • Respond to expressions of interest or requests for qualifications/quotations and ensure compliance with requirements.
  • Obtain support from other departments as required in preparing proposals.
  • Assist in creating and updating client specific capability statements and presentations.
  • Obtain feedback from proposals for 'lessons learned' to incorporate in future proposals.
  • Provide weekly summaries of team activities including active proposals and resource distribution.
  • Collaborate and interact with diverse colleagues globally.
  • Responsible for coordinating the pursuit process from kick-off meetings through production of client response templates, editing, formatting, collating, proofreading and electronic delivery of proposals.
  • Facilitate gateway proposal meetings with the pursuit team, bid meetings, approval meetings and chase actions as required.
  • Create proposal templates for submissions when capacity is not available.
  • Support client development needs across sectors and countries.
  • Contribute to continuous process improvement of shared services teams.
