Job Opportunity

We seek a detail-oriented and proactive support specialist to manage daily operations, administrative responsibilities, and marketing tasks.

Main Responsibilities:
  • Administrative Support: coordinate the inbox, optimize calendar management, maintain databases, oversee equipment maintenance, manage the office environment, arrange travel, and prepare detailed expense reports for business trips.
  • Client and Business Development Support: handle inbound inquiries from potential clients, maintain customer relationship management systems with accurate daily updates, assist in organizing business development activities, send welcome packages to new clients.
  • Communications and Marketing Support: update online presence and social media content, manage entries for awards, research journalist contacts and outlets, support founders in press or event initiatives, manage content calendars, coordinate in-house projects, and research speaking engagements and new business opportunities.
  • HR and Finance Support: maintain payroll systems, onboard/offboard employees, draft contracts, manage sick leave protocols, support recruitment processes, coordinate onboarding/offboarding, process accounts payable/receivable, and perform weekly bookkeeping reconciliations.
Requirements:
  • 4+ years of experience in executive assistance, communications, or marketing
  • Ability to work in Eastern Standard Time (EST)
  • Effective communication and relationship-building skills
  • Strong organizational and time-management skills
  • Motivated, resourceful, and goal-oriented mentality
  • Proficient in Google Workspace, Excel, and Microsoft Word
  • Experience with CRM software and sales tools is a plus
