We are seeking an experienced executive assistant to support our client's CEO.
The ideal candidate will have 5+ years of experience in an operational and executive assistant role, with strong attention to detail and excellent communication skills.
Key Responsibilities:- Manage the CEO's inbox and task list, ensuring timely follow-ups and clear priorities.
- Schedule meetings, coordinate calls, and assist with business communication.
- Shift invoicing to QuickBooks and handle sending, tracking, and collecting payments.
- Prepare and maintain essential client documents like W9s and COIs.
- Help create and document standard operating procedures for smoother operations.
- Assist in setting up tools and systems to improve workflow efficiency.
- Support bid tracking and internal organization for future growth opportunities.
- 5+ years experience in an operational and executive assistant role.
- Highly detail-oriented and thrives on clarity, structure, and follow-through.
- Proactive and takes initiative—anticipates needs before being asked.
- Tech-savvy with tools like Google Workspace, Slack, and Zoom.
- Communicates clearly and professionally, both in writing and over the phone.
- Able to manage shifting priorities and work independently with minimal supervision.
- Brings experience supporting small businesses, ideally in construction or trades.
- Bonus if you've worked with entrepreneurs or supported civil/construction projects.
- $1000 - $1500/mo. depending on experience
- $500 bonus at 90 days and annual performance bonuses
- 13th month pay
- Performance-based bonuses
