Contract Administration Specialist

We are seeking a highly skilled Contract Administration Specialist to play a crucial role in managing and reviewing contracts with suppliers and subcontractors.

  • The successful candidate will be responsible for preparing and reviewing contracts, verifying terms and scope coverage, and ensuring compliance with project requirements.
  • They will work closely with the construction management team, estimating team, and project stakeholders to ensure accurate evaluation and effective communication.
  • Maintaining thorough and accurate project records, including contracts, approvals, and correspondence, is essential to success in this role.
  • The Contract Administration Specialist will provide progress updates and reporting on contract status and variations.

Key Responsibilities:

  1. Contract Review and Management: Prepare, review, and manage subcontractor and supplier contracts to ensure compliance with project requirements.
  2. Scope Verification: Verify contract terms, scope coverage, and inclusions/exclusions to ensure accuracy.
  3. Bluebeam Proficiency: Use Bluebeam to review drawings, markups, and perform takeoffs as required.
  4. Discrepancy Identification: Identify discrepancies or gaps in contractor submissions and recommend solutions.
  5. Quote Evaluation: Review and compare contractor quotes and scopes to ensure accurate evaluation.
  6. Contractor Selection: Prepare recommendations for contractor selection based on price, scope, and compliance.
  7. Record Maintenance: Maintain up-to-date records of contractor pricing and project-related documentation.
  8. Progress Reporting: Provide progress updates and reporting to the construction manager on contract status and variations.
  9. Variation Preparation: Assist in preparing variations, progress claims, and compliance reports as required.

Requirements:

  • Bachelor's degree in Construction Management, Engineering, Quantity Surveying, or a related field (preferred).
  • 3–5 years of experience in contract administration or project support within the construction industry.
  • Proficiency in Bluebeam for drawing review, takeoffs, and documentation. ApprovalMax experience valued.
  • Strong understanding of contract terms, scopes, and construction documentation.
  • Ability to review and interpret construction drawings and specifications.
  • High attention to detail with excellent numerical and analytical skills.
  • Proficiency in MS Office Suite and familiarity with construction management software.
  • Organised, process-driven, and detail-oriented.
  • Strong communication and stakeholder management skills.
  • Ability to work collaboratively in a fast-paced project environment and meet deadlines.
