Job Summary

We are seeking a skilled Administrative Operations Assistant to support our organization's core functions. This role will handle day-to-day tasks across financial, HR, and administrative areas.

Key Responsibilities:
  • Banking & Credit Card Administration
    • Process payments and reconcile monthly credit card transactions
    • Maintain accurate documentation and ensure transaction details are well organized
  • Accounts Payable & Bill Pay
    • Manage bill pay activity in Bill.com, including invoice entry and approval workflows
    • Communicate with vendors to confirm payment timing and resolve discrepancies
  • Payroll
    • Run biweekly payroll for employees and contractors using Gusto
    • Maintain payroll records and documentation according to compliance standards
  • Bookkeeping & Financial Admin
    • Enter and categorize transactions in QuickBooks or Finaloop
    • Assist with monthly close tasks and cross-system reconciliation
  • Tax Compliance
    • File sales tax returns accurately and on time across applicable states
    • Coordinate with the CPA to support sales tax compliance
  • People Ops & Onboarding
    • Set up new employee and contractor accounts across internal platforms
    • Prepare and maintain onboarding materials, including welcome packets and policies
  • General Operations & Administrative Support
    • Assist with scheduling meetings and logistics as needed by the leadership team
    • Draft SOPs and internal process documentation related to the role's responsibilities
