Procurement Analyst Job Description

Balsam International is seeking a detail-oriented Procurement Analyst to support Inventory Planning and Procurement initiatives. This role reports directly to the Procurement Supervisor and takes ownership of day-to-day procurement operations, including purchasing, managing vendor relationships, tracking orders and data, handling contracts and payments, and generating reports to support cross-functional teams.

  • Ensures timely and accurate placement of purchase orders.
  • Negotiates PO terms with vendors to reach acceptable agreements.
  • Monitors vendors' compliance with agreed ship dates.
  • Tracks all orders and shipments to ensure correct and on-time delivery of goods.
  • Partners closely with our Operations team and external partners to ensure timely and accurate execution of inventory plans.

Key Responsibilities
  1. Order Creation and Management:
  • Ensure timely and accurate placement of purchase orders.
  • Negotiate PO terms with vendors to reach acceptable agreements.
  • Monitor vendors' compliance with agreed ship dates.
  • Track all orders and shipments to ensure correct and on-time delivery of goods.
Data Management:
  • Create, manage, and audit large data sets in support of various Planning and Procurement functions.
  • Support the Planning team in the execution of demand forecasting and supply planning.
  • Partner with merchant teams in planning for New Product Introductions.
  • Collaborate with the Operations team in shipment scheduling and warehouse allocation.
Vendor and Contract Management:
  • Develop effective communication strategies and maintain good business relations with vendors.
  • Monitor the purchasing mailbox and serve as the point of contact for vendors on all PO concerns.
  • Assist the merchandising team with vendor onboarding.
  • Maintain and keep records of vendor contracts and insurance certificates.
Accounts Payable Management:
  • Submit PO, commission, and/or sample payments that are due for approval.
  • Monitor payments to ensure vendors and agents are paid accurately and on time.
  • Maintain and reconcile records of payments and chargebacks.
Reporting and Analysis:
  • Develop reports and presentations in a clear and actionable manner.
  • Support team and other functions through ad-hoc analysis and projects.

Requirements
  1. Education: Bachelor's Degree in Business Management, Supply Chain Management, Economics, or other related courses with quantitative backgrounds.
  2. Experience: Minimum one (1) year relevant experience in procurement involving purchase orders, which also entails analyzing data sets in support of various Inventory Planning and Procurement initiatives preferably gained from a multinational environment.
  3. Skills: Must be adept in collaborating with other teams on the conduct of in-depth cross-functional projects which will have a direct impact on Balsam Brands' business.
